Job Description
The Administrative Assistant is responsible for the business office of the center, supporting the management, parents and teaching staff. The ideal candidate has some post high school education or training and experience in an administrative position. He or she must have a pleasant and courteous personality, strong administrative and organizational skills, strong phone and computer skills, and excellent communication and interpersonal skills.
RESPONSIBILITIES
- Post weekly tuition charges to all accounts
- Add new families / enrollments to computer system
- Set up new paper files for director to review for new students
- Enter all payments received on computer system
- Add new employees on computer system
- Answer telephone, take messages, respond to injuries, and give directions to the center
- Call parents in the event of an accident or incident report
- Set up new employee paper files for staff for the director to review
- Keep hourly classroom counts
- Print monthly roll call for staff, playground registers, cleaning visits, supply lists, diaper charts etc
- Collect outstanding tuition via telephone
- Produce letters, signs, forms requested by the director
- Substitute in classrooms if needed
- Assist with sick children
- Assist in the opening or closing of the facility
- Process maintenance requests
- Produce welcome packs, new starter packs and welcome folders
- Any other duties as required by the Director or Curriculum Specialist
QUALIFICATIONS
- Must be at least 18 years old
- High school diploma or GED required; some post high school education or training preferred
- Minimum of 6 months experience in office environment
- Knowledge of childcare rules and regulations
- Able to relate well to the public in person and on the phone
- Diplomatic, tactful, creative, discreet, flexible, dependable, well organized, friendly
- Able to work effectively with multiple supervisors, balance and prioritize multiple requests
- Able to handle complex and multi faceted tasks
- Excellent computer skills
- Maintain CPR and First Aid
- Maintain child Abuse and Neglect classes
- Maintain blood borne pathogen and fire extinguisher certification
- Maintain TB Test or note of good health
