Provides support to the Property Management department in day-to-day activities and assists in the development of strategic plan of assigned properties. Manages all property work orders, purchase orders, utilities, and vendor invoices. Assists the Property Manager in contract management and creation. Develops and maintains vendor relationships.
DUTIES AND RESPONSIBILTIES:
1. Coordinates day-to-day maintenance issues for Regency properties, including scheduling maintenance calls, creating work orders and purchase orders, and vendor follow-ups.
2. Receives and processes, for payment, vendor invoices for properties.
3. Maintains Yardi system of certificate of insurance for contracts and approved vendors.
4. Orders and coordinates all property items as requested by Property Manager or Director of Property Management (benches, trash cans, janitorial supplies, etc.)
5. Tracks all open work orders daily and facilitates completion.
6. Maintains and updates all utility files on all properties (both accounts being handled by third party and accounts being handled in-house); including transferring utilities and approving invoices, as necessary.
7. Assists in preparation of annual operating expense budgets for assigned properties.
8. Provides support to Maintenance Technicians.
9. Recognizes gaps in internal process and procedures and provides recommendations to increase efficiencies.
10. Report all tenant related issues to Property Manager and escalate as needed.
11. Maximizes utilization of the Yardi system for Property Management.
