Administrative Assistant III

The Administrative Assistant III will support the leaders of the TJ Maxx marketing team in our Framingham Office. This individual provides advanced administrative support requiring a broad and comprehensive knowledge of company policies, procedures and practices. Independently ensures office systems and divisional procedures, policies and practices are administered effectively. Interfaces with a variety of internal and external customers on a variety of issues which requires tact and diplomacy.

  • Schedules and maintains multiple calendars of appointments and meetings.
  • Coordinates travel itineraries and processes expenses.
  • Organizes and supports meetings, trainings and conferences by anticipating needs (catering, booking rooms) and supports in preparation of materials (Powerpoint, breakout groups, copies, etc).
  • Supports team with new hire on-boarding.
  • Supports team with execution of associate celebrations and acknowledgements.
  • Organizes and maintains files, record keeping systems, and office layout.
  • Analyzes operating practices and creates/revises systems and procedures as necessary.
  • Oversees and monitors administrative projects. Performs other duties as required or directed.
  • Manages and tracks the gift card inventory.
  • Responds to questions and requests and researches information to provide recommendations (meeting venues, travel logistics, etc).
  • Interfaces with a variety of customers on issues which are complex or of a confidential nature.
  • May provide functional guidance and training to other associates within Division.
  • Provides back-up support to other Administrative Assistants.


Qualifications


  • Strong Microsoft Office experience required, specifically PowerPoint, Excel, Outlook, Word, One Note and Teams.
  • Superior communication and interpersonal skills with proven organizational and administrative skills.
  • Experience scheduling meetings, managing multiple calendars, arranging travel schedules and processing expenses critical.
  • Must thrive in a fast-paced environment and adapt to dynamic business needs.
  • Must relish creative problem solving – being resourceful and leveraging relationships to drive to solutions.
  • Must exhibit integrity in management of confidential topics.
  • Proven success of juggling many things at one time and ability to shift gears and prioritize.
  • Strong ability to collaborate with and cover other Administrative Assistants.
  • Ability to service a large group of people (VP/AVPs) and partners (agencies/vendors).

This role is hybrid requiring 2 days per week in the Framingham, MA office.


This position has a starting pay range of $22.45 to $30.85 per hour.

Actual starting pay is determined by a number of factors, including relevant skills, qualifications, and experience.
