The Administrative Assistant II reports to and takes direction from the Child Support Director with functional coordination and cooperation from the Enforcement Specialists. This position is responsible for providing and understanding a wide variety of clerical, financial, and administrative tasks to ensure client accounts are accurate and up-to-date. The Administrative Assistant II assists the Director and Enforcement Specialists by performing a broad variety of computer, clerical tasks, typing, data entry and public contact work in a very fast-paced office. ESSENTIAL DUTIES AND RESPONSIBILITIES include the following, but are not limited to:
Receipts and accounts for the child support and maintenance monies received by agency according to policy and within mandated time constraints. Reconciles balances and makes deposits
Receives and processes invoices. Prepares bank deposits and notifies the disbursement vendor of payments receipted and deposited.
Assists Enforcement Specialists in maintaining cases referred for Lien Docket. Maintains a client Non IV-D caseload on the KIDS automated statewide computer system" plus financials for IV-D caseload. Interprets court orders and enters orders into KIDS automated system.
Establishes accounts for divorce, support, maintenance and paternity actions based on court records.
Prepares certified arrearage statements for intergovernmental cases. Calculates child support arrearage and interest in cases where adjustments are necessary due to a court order and enters adjustments in the KIDS automated system.
Balances daily deposit to daily payment receipts reconciles depository bank account and bank statements. Reconcile case accounts on a monthly and/or annual basis.
Maintains cases and accounts in KIDS automated system in cooperation and coordination with Child
Support Enforcement Specialists. Assists with directives from the Bureau of Child Support in automated system case corrections and/oridentified problems.
Interprets and enters income withholding provisions into KIDS automated system. Processes all income withholdings for IV-D cases and Non IV-D cases within State guidelines. Generates, reviews and performs necessary work on various reports.
Answers telephone calls and questions from walk-in clients relating to child support and maintenance accounts and appropriately documents interactions. Refers client or appropriate information to Child Support Enforcement Specialists to aid in enforcement.
Testifies in court at hearings regarding payment records, account reconciliation's, and tax intercept.
Access and work with multiple, on-line, state and federal data bases in order to perform job duties.
Performs assigned tasks in accordance with office policy and State and Federal laws and regulations.
Identifies and corrects various interface demographic errors between the KIDS automated system and Cares Worker Web (CWW) as well as the Wisconsin Statewide Automated Child Welfare Information System (WiSACWIS). Assigns KIDS cases to the appropriate Child Support Enforcement Specialist or closes case as appropriate.
Creates, prepares and organizes child support documents. Scans and sorts all necessary paperwork into virtual record retention system according to metadata.
Runs daily, weekly, monthly and quarterly state reports and distributes to Child Support staff.
Opens, sorts and distributes incoming mail. Prepares and routes outgoing mail,
Monitors multifunctional device for adequate paper, toner and other operational needs.
Performs other duties as assigned..High School graduate with 6-12 months of practical, progressive clerical/accounting work experience in a legal/business office. Education or experience with filing, common software programs such as Microsoft Office, internet browsers and electronic records systems, college/technical school level accounting, legal terminology, policies and procedures, and be able to type at a reasonable rate of speed and accuracy.
