Position Overview:
The Financial Administrative Assistant will provide essential administrative support to
the finance department, assisting with day-to-day financial operations and ensuring
accuracy and efficiency in financial processes. This role requires strong organizational
skills, attention to detail, and the ability to multitask in a fast-paced environment.
The Position is for 20 hours per week
Key Responsibilities:
● General Administrative Support: Provide general administrative support to the
finance department, including answering phones, responding to emails,
scheduling meetings, opening/closing the office, etc.
● Appointment Scheduling: Schedule appointments, meetings, and other events for
clients, customers, and internal staff. Coordinate with relevant parties to confirm
appointments and ensure timely attendance.
● Resolve client issues or disputes in a timely and satisfactory manner,
escalating as needed to ensure resolution.
● Build and maintain positive relationships with clients through regular
communication and interaction.
● Serve as the primary point of contact for clients, addressing their inquiries,
concerns, and feedback promptly and professionally.
● Understand clients' needs and preferences to provide personalized service
and support.
● Coordinate with internal teams to ensure timely delivery of products,
services, and solutions that meet clients' expectations.
● Calendar Management: Maintain and update calendars for executives, managers,
and team members, ensuring accuracy and consistency in scheduling activities.
● Communication: Communicate scheduling changes, updates, and reminders to
employees, clients, and other stakeholders in a clear and timely manner. Respond
to inquiries and requests related to scheduling promptly and professionally.
● Financial Documentation and Filing: Organize and maintain financial documents,
records, and files in both digital and physical formats. Ensure compliance with
company policies and regulatory requirements.
● Account Management: Support the advisors with client account management,
making sure that paperwork is correct and filed in a timely manner
● Attend Seminars & events with team and welcome clients in a friendly manner
while building relationships
Job Type: Part-time
Pay: $16.98 - $17.85 per hour
Expected hours: 20 per week
Schedule:
