POSITION TITLE:Administrative Assistant, Bereavement Department
FLSA STATUS:Hourly/Non-Exempt
REPORTS TO:Bereavement Coordinator
POSITION OBJECTIVES:
Provide administrative support to the Bereavement Department and Peggy F. Murphy Community Grief Center staff.
QUALIFICATIONS:
Experienced personal computer skills.- Effective written and verbal communication skills.
- Basic knowledge of office equipment and procedures.
- Knowledge of Excel, Word, PowerPoint, and HCHB/Electronic Medical Record Software.
- Must display strong organizational skills, effective time management, and the ability to prioritize tasks.
- Demonstrate accurate skills in proofreading and record-keeping.
- Ability to be discreet and protect the integrity of confidential information.
- High school graduates with secretarial experience or comparable training.
- Must have an Indiana motor vehicle operator’s license and have access to an automobile with current automobile insurance coverage.
- Knowledge of organization policies and procedures
ESSENTIAL FUNCTIONS:
Ensure adequate record keeping for Stillwater Hospice Bereavement follow-up, Community Grief Clients, complementary programming, and support groups.- Record registrations for programs and support groups and report potential attendees to the appropriate facilitator.
- Assist with the scheduling of Grief Counselor bereavement visits.
- Monitor tracking and complete documentation of written correspondence, volunteer phone calls, memorial service invitations, and educational programs.
- Prepare mailings for Stillwater Hospice families, including bereavement letters, memorial invitations, and the final bereavement evaluations.
- Assist in tracking Peggy F. Murphy Community Grief Center client–related data for Stillwater Hospice and Community grief clients reporting back to the appropriate members of Leadership.
- Allocate, organize, and mail out monthly volunteer calls.
- Communicate with bereavement volunteers regarding task distribution and reception desk coverage.
- Offer resource information to bereaved who call in for assistance.
- Assist with bereavement programs, Peggy F. Murphy Community Grief Center events and other public/private events.
- Serve as the point of contact for any external groups utilizing space in the Grief Center and assist on the scheduled training/meeting day.
Prepare supplies for scheduled grief support groups and programs. - Maintain inventory of supplies utilized within the Grief Center.
- Adheres to all agency policies and procedures.
- Other duties as assigned.
The published compensation range for this position reflects a good faith estimate of starting base pay for full-time (40 hours per week) employment at the time of posting.
