Position Purpose: Performs a range of administrative and office duties to support the overall team functions of the company.
Principal Duties:
Operates switchboard – answers and fields phone calls
Welcomes visitors and coordinates customer and vendor visits within VTI
Files orders and purchase orders, pulls orders for order entry and maintains filing cabinets by archiving older files
Makes travel reservations for employees (Flight, Hotel, Car)
Coordinates luncheons for customers and VTI staff
Schedules the conference room and keeps it and the foyer tidy
Oversees both break rooms for cleanliness; launders and restocks break room towels weekly
Prepares the Kitchen Duties Cleaning Schedule for front and back kitchens
Performs inventory check, purchases and maintains active listing of cleaning supplies, office supplies and printer cartridges
Processes incoming and outgoing mail, prepares checks for deposit, pulls files to match invoices
Insures fax machine and copier machines are serviced and kept in working order
Assists employees with copying reports, binding training manuals, and provides general office support
Maintains and updates listings of VTI personnel, telephone extensions, and emergency contacts
Assigns Return Merchandise Authorization numbers
Collects and enters time for technical departmental personnel
Performs other clerical and administrative tasks as assigned by supervisor
General Requirements
Associate’s Degree in Business or equivalent
Eight to ten years of office experience
Trained in office procedures and use of office equipment
Knowledge of Windows, Microsoft Office, specifically Word and Excel
Acute attention to detail
Ability to communicate accurately and clearly both orally and in writing
Demonstrates a pleasant and professional telephone manner
Maintains professionalism, discretion, and focus. Goal oriented, multitasker, willing to help others, follows directions and is proactive when working independently or with others
