Position Announcement
Provide administrative support to the Occupational Therapy Department in coordination with the Support Specialist for the Occupational Therapy (OT) Doctoral Program. Oversee daily operations of the department, and assist students in registering for program courses. Assist faculty with their clerical needs, including applicable grants to the department; supervise paid student staff. Work with University offices and support the Dean's office, as necessary. Responsibilities
  • Support the Chair of the Occupational Therapy (OT) Department, its faculty, advisors, and students. Part of this support involves assisting with grant management, due to related grants associated with Occupational Therapy.
  • Assist in greeting public, answering phones, receiving messages, distribute mail, and directing students/visitors to proper areas/offices on campus.
  • Assist OT Department Chair and Support Specialist in record management and bookkeeping; assist with budget requests, and assist faculty with administrative needs, as requested.
  • Assist in preparing and tracking purchase requisitions, travel authorizations, and other University forms and processes, as needed.
  • Set up, organize, record, and distribute minutes from department meetings.
  • Oversee timecard processes from initial appointments to timely submission of timecards.
  • Supervise hourly employees (work-study, regular student, regular hourly).
  • Maintain and oversee inventories of equipment and supplies for department.
  • Maintain proficiency in use of school database systems: Banner, Crystal and ARGOS.
  • Assist department chair and/or faculty with department grant clerical work, as needed.
  • Work with the Academic Fieldwork Coordinator and Capstone Coordinator in site procurement, scheduling, and communication.
  • Ensure that board certification and licensure credentials are on file for all clinical educator personnel and community partners.
  • Liaise with clinical and community sites to monitor student compliance with internship requirements.
  • Perform other duties as assigned.

Qualifications
  • High School Diploma/GED, plus vocational or technical training, required. Associate's degree, or vocational/technical training, preferred.
  • At least two years' related office experience required.
  • Good organizational and financial record keeping and book keeping skills.
  • Ability to use Microsoft Office (word processing, spreadsheets, email) and University operating system (Banner).
  • Knowledge of English grammar, punctuation, and correspondence forms; appropriate receptionist/phone skills.
  • Knowledge of office equipment use.
  • Ability to properly represent the division dean, department chair, and faculty in exercising good human relations skills. Ability to maintain confidentiality.

Supplemental Information
POSITION DETAILS, COMPENSATION AND BENEFITS: Full-time classified staff (overtime-eligible) position. Annual salary of $34,600.
