Primary Purpose:
Organize and manage the routine work activities of an administrative department office and provide clerical services to the department head and other staff members.
Qualifications:
Education/Certification:
- High School Diploma or GED
- Bilingual required
Experience:
- One to three years of secretarial experience, preferably in a public education environment
- Proficient in Word and Excel
- Proficient with budgets and numbers
- Organizational skills
- Excellent verbal and written communication skills
- Access to vehicle and ability to drive

Major Responsibilities and Duties:
- Assist with event planning, billing, and sponsorship collections
- Assist the principal of the alternative campus with meeting schedules, parent conferences, translations, and intake of students
- Collect, organize, copy, and bind all materials for meetings and distributes to team members and other appropriate staff
- Assist the Webmaster/Graphic Designer as needed
- Prepare written correspondence forms, schedules, or reports using current technology
- Schedule meetings and appointments and maintain a calendar for the department
- Attend meetings and take minutes or notes
- Assist the department as needed with processing invoices and board document preparations
- Receive incoming calls, take reliable messages, and route to the appropriate staff
- Maintain physical and computerized files including inventory of maintenance and campus materials and equipment, budgetary items, and office communication
- Monitor department budgets and prepare budget amendments
- Process purchase orders, payments, and other financial documents according to district guidelines
- Process and maintain contracts for department services
- Compile, maintain, and file all reports, records, and other documents required in the department
- Sort, distribute and/or deliver mail and other documents
- Maintain confidentiality
- Maintain professional appearance and demeanor when dealing with district staff and the general public
- Perform other duties as assigned
- All duties must be peformed on site
