Administrative Assistant
Salary: $53,223.12 - $67,964.40
The Michigan Court of Appeals currently is seeking qualified applicants for the position of Administrative Assistant. This position provides administrative and secretarial support to the finance director involving matters related to the Court of Appeals budget, accounting, payroll reconciliation, procurements, bill payments, and approval of travel vouchers. Facilitates purchases and services, and payment processing, and oversee office matters and on-site Court events in the four district buildings. Provides administrative and secretarial support to the Court’s other directors when requested to do so.
Primary responsibilities include, but are not limited to, the following:
- Assist the finance director with annual budget preparation, payroll reconciliation, and travel vouchers reconciliation and approval in the MI travel and expense system. Also, assist the finance director with records management and organization and with the preparation of reports, correspondences, manuals, and guidelines.
- Serve as the primary contact in the finance department, including general inquiries, requests, and complaints. Identify needs, troubleshoot or research problems, and resolve or refer to finance director for response.
- Facilitate the purchase of supplies and services, payment processing, and office services for the Court of Appeals staff. This includes reconciling and preparing invoices for payment with proper accounting codes, coordinate and reconcile court supply orders, and assisting and monitoring judicial offices with travel arrangements.
- Participate in the onboarding of newly elected or appointed judges, which includes procurement of robes, luggage, stationery, note cards, desk pads, and business cards. Also provide assistance for judicial investiture ceremonies and judicial meetings.
- Oversee office matters in the four district buildings, including procurement and removal of furniture, and disposal of excess furniture, shelving, and equipment. This entails travel to all locations to supervise the installations, movements, and disposals. Also, oversee the arrangement of bench photos, ordering framed photos, and maintaining the judicial photo gallery at the Hall of Justice.
- Provide administrative and secretarial support to other Court directors, including assistance in the preparation of reports and correspondences.
- Oversee and coordinate with other employees for on-site. Court events, including employee recognition ceremonies and celebratory departure receptions, and oversee other miscellaneous Court-wide matters.
EDUCATION: Associate’s degree in business administration, finance, accounting, paralegal studies, public administration or related field.
EXPERIENCE: Three years of progressively more responsible secretarial or clerical experience.
KNOWLEDGE:
- Advanced computer skills required.
- Excellent interpersonal and communication skills.
- Strong understanding of the English language, grammar, and spelling.
- Word processing, presentation, database, and spreadsheet applications.
ABILITY:
- Multitask and prioritize multiple projects with competing deadlines.
- Strong interpersonal and communication skills.
- Attention to detail.
WORK LOCATION: Hall of Justice, Lansing, MI. In-person or hybrid (in-person/remote) work schedule is available after completion of training period. Occasional travel to all court sites and District offices is required.
