The Pokagon Band of Potawatomi Indian (“Band”) is committed to customer service in all governmental operations. Every employee must provide exemplary customer service, including by treating Band citizens, employees, and customers, and others with dignity and respect.
Position Summary
Under the Cannabis Regulatory Act (“Act”), the Cannabis Regulatory Commission (“Commission”) is organized under an Executive Director, who under Commission supervision, oversees, manages, and supervises the day-to-day operations of the Commission. The Administrative Assistant will provide administrative support to the Executive Director and, when directed, the Commission. In accordance with the Act, the Executive Director will supervise the Administrative Assistant.
Essential Functions:
The Administrative Assistant will perform a variety of clerical, secretarial, and administrative support work, including:
• compose, type, and edit a variety of documents, including correspondence;
• establish and maintain a filing system;
• track, monitor, and prepare notices relating to licenses, including relating to renewals;
• schedule appointments and maintain calendars;
• make travel arrangements and reconcile travel expenses and credit card receipts;
• answer telephones, take messages, and assist with follow-up;
• interact with applicants, licensees, and others, including to obtain or give information, forms, etc.;
• order, stock, and distribute incoming supplies;
• receive, open, scan, sort, log, and distribute incoming mail, recognizing time sensitive documents;
• receive, greet, screen, and attend to visitors at Commission offices, once established;
• when directed, attend Commission meetings; and
• when directed, assist the Commission, including with preparing and posting meeting agendas and preparing meeting minutes.
Equipment:
• Standard office equipment.
• Systems used: MS Office applications, and Internet.
Position Requirements:
To be hired in the position, a person must possess:
• High School Diploma or equivalent;
• have one (1) year previous experience in performing clerical, secretarial, or administrative support work;
• possess excellent customer service and communication skills, both oral and written;
• have the ability to work independently and to meet deadlines;
• have the knowledge, intellect, temperament, and flexibility to work effectively in a fast-paced environment;
• have the ability to properly handle confidential information and to maintain strict confidentiality;
• be proficient with MS Office applications and general office equipment such as copy machines, fax machines, calculators, printers, scanners, etc.; and
• possess intermediate Microsoft Word skills.
Background Investigation:
• In accordance with Section 5.04 of the Act, before any person may begin work as a Commission employee, the person must pass a background investigation the purpose of which includes to ensure that the person maintains the highest level of integrity. The background investigation will be conducted by the Tribal Police. The Commission, in its discretion, may permit the Administrative Assistant to begin work prior to completing the background investigation.

Physical Requirements:
• The work is generally sedentary in nature and will frequently require sitting, however standing and walking will occasionally be necessary.
• The person is frequently required to use hands and fingers to operate equipment.
• The person is frequently required to talk and hear.
Work Environment:
• The person will work in a general office environment. Lighting and temperature are adequate, and there are no hazardous or unpleasant conditions caused by noise, dust, etc. The work will initially be performed from remote home office, but will transition to an office environment, with standard office equipment available, once Commission facilities have been designated. The person may be exposed to an environment where cannabis is stored and sold.
