Project Overview
This is a 12-month assignment working full-time, on-site in Albany, NY paying $23-28/hour
This is an administrative support for an Energy Laboratory, with a simulation and testing facility.
Job Functions & Responsibilities
Pre-registering Visitors Gathering the information needed to register individuals and sending to Security in advance of visit, and completing any additional paperwork that might be needed for visitors/visits
Preparing arrangements for events including: arranging catering, meeting the delivery person & escorting them through the building, setting up the food, cleaning up
Setting up the conference room/NOC for meetings, adding tables and chairs, setting up the screens
Coordinating necessary/appropriate contacts for assistance
Putting up new signs around office ProCard Monthly Statement
Conference/Event Registrations/Professional membership Trainings
Office Supplies, Enter purchase requisition and work with business unit internal processes to deliver the PR to SSM
Generate expense reports Office
Coordinate/request general office IT maintenance and support requests via Zen Desk
Coordinate/request any supported maintenance Zen
Primary contact for fleet car arrangements, such as notifications if care needs to be moved, if someone parks in the wrong spot
Primary contact for office for any general questions or issues
Work with Tenant Relations Office to update the Tenant List Annually to confirm list of access badges to be renewed for following year
Notify Access Control, collect and return ID badges for anyone who no longer needs access
Campus Liaison between Security, Mailroom and maintenance for deliveries, repairs, etc.
Assist with onboarding New Staff with Security, IT, Orientation, Safety Training etc
Office/Email Notifications for general need-to-know correspondence
Skills
• Excellent personal computing skills, including proficiency with spreadsheets, word processors, databases, and project management software; • Excellent interpersonal skills; good written and verbal communication skills; • Ability to work as part of a high-performing team; • Demonstrated high level of personal motivation, foresight, and good judgment; • 5 years of prior experience working as an Administrative Assistant • Preferably experience working in utilities or other related industry
Education & Certifications
• High school diploma
