Job Summary and Qualifications
Under the direct supervision of the Division Office Manager, this position provides administrative and secretarial support for service line vice presidents and the department. In addition to the general responsibilities of an Administrative Assistant, this position also requires front desk responsibilities. This includes greeting visitors, answering phones, handling inquiries, and directing incoming calls or visitors to the appropriate person. Independent judgment is required to plan, prioritize, and organize a diversified workload.
What you will do in this role:
- Manage front desk
Manages calendars, schedule meetings, and coordinates appointments for Vice Presidents.
Work schedule: in-office, Monday through Friday from 8am to 5pm.
Provides general administrative support to the department as required.
Orders supplies for the department as needed, ensuring adequate stock levels.
Types and designs general correspondences, memos, charts, tables, graphs, business plans, etc. as requested by the Vice President or other department members. Proofreads copy for spelling, grammar, and layout, making appropriate changes. Responsible for accuracy and clarity of final copy.
Works independently and within the team on special nonrecurring and ongoing projects.
Handles confidential information and non-routine information and explains departmental policies when necessary.
Acts as a liaison with other departments, facilities and outside agencies, including high-level staff such as CEOs, COOs, CMOs, CFOs, CNOs, etc.
Answers phones for the Vice President and the department. Takes messages or fields/answers routine or non-routine questions. Works in cooperation with other Executive Assistants to cover phones.
Sorts and distributes mail for all department members.
Organizes and prioritizes large volumes of information and calls. Responds to regularly recurring requests for information.
Maintains contact lists for the Vice Presidents.
Schedules and organizes complex activities such as meetings, travel, conferences and reimbursement reports
Other duties as assigned.
What qualifications you will need:
- 3 to 5 years of proven experience as an Administrative Assistant or in a similar role.
- Work requires attention to detail in composing, typing and proofing materials.· Must have strong working knowledge of Microsoft Office (Word, Outlook Calendar, Excel, OneNote, Power Point, etc.)
Excellent communication and interpersonal skills.
Bachelor's degree preferred.
High School Graduate / GED.
