PRINCIPLE OBJECTIVE:
The Administrative Assistant's primary role is to facilitate and support the day to day responsibilities of the VP/GM. They will achieve this goal by overseeing assigned projects or activities, coordinating daily schedules/calendar, preparing for meetings and managing travel. The Administrative Assistant will provide a high touch and agile approach to administrative duties.
This role will help to effectively manage, organize ever-changing priorities, using good judgment and self-discipline. Must be comfortable working with diverse personalities in a highly complex, fast moving business environment. The ideal candidate is proactive, flexible, solution oriented and thrives under tight deadlines in a fast-paced, highly demanding work environment while exhibiting excellent customer service and professionalism in all interactions. A professional, positive, and calm demeanor is essential in managing the fast-paced environment.
It is critical that this person displays a high level of professionalism and strong communication to coordinate with various senior leadership offices. This role will require interaction with internal and external stakeholders, including senior executives, Executive Leadership Team, Retailers, and Company employees at all levels.
ACCOUNTABILITIES:
1. Ensure effective ongoing operations of SPs office, ability to multi-task, think proactively, and anticipate the needs of the VP/GM.
2. Handles/manipulates heavy calendar to include domestic and some international travel, scheduling daily meetings, senior management requests, retailer meetings, and committee meetings. Proactively manage meeting scheduling and logistics, set conference/video calls involving multiple time zones. Develop relationships with administrative staff to facilitate effective meeting planning and scheduling.
3. Arrange all travel to include itineraries, agendas, visas, and travel advances.
4. Handles expense reporting using GERS.
5. Maintain up to date appointments, requests and agendas for events on calendar.
6. Screen incoming calls, relay detailed messages and maintain call log.
7. Review all mail, non-confidential email
8. Proven ability to handle confidential information with discretion.
9. RSVPs / Restaurant Reservations / Car Services
10. Works closely with VP to draft and generate appropriate correspondence required
11. Arrange catering/set up to include but not limited to breakfast, dinners, prepare travel arrangements; agendas, itineraries and invitations; arranges for transportation; reviews such actions with VP as necessary.
12. Develop and edit presentations and word documents as needed.
- Minimum of five years previous work experience in a corporate environment providing administrative support for a senior level executive
- Exemplary professionalism, diplomacy and discretion when handling matters of a confidential nature
- Excellent communication, writing and organizational skills
- Highly detail-oriented, while also being able to grasp the "big picture"
- Ability to proactively to anticipate needs and potential problems and take independent action as appropriate using good judgment and discretion to resolve issues
- Perform project work as requested
- Ability to work well in a collaborative environment and interact effectively with all levels of management and employees
- Results oriented with the ability to complete assignments in a timely manner
- Ability to handle multiple priorities and make clear and timely decisions

- Expert computer skills including Microsoft applications - Outlook, Word, Excel, PowerPoint
- College or university degree required
- Ability to handle a fast-paced environment, work well under pressure, problem-solve and seek excellence in execution
The anticipated hourly range for this position is $31.25 to $49.25. Exact hourly rate depends on several
factors such as experience, skills, education, and budget. Hourly range may vary based on
geographic location. In addition to hourly rate, this position may be eligible for an annual
discretionary bonus.
