The Senior Executive Assistant, OLT will provide strategic and operational administrative support to one Senior Vice President, Regional Operating Officer (Region 2). This role requires a hospitality centric, proactive, resourceful and innovative individual.

The Senior Executive Assistant should be able to have the proven ability to excel in fast-paced environments, providing comprehensive strategic administrative support to The SVP, Regional Operating Officer. This position will play a critical role in ensuring the OLT leader’s time is optimized, administrative tasks are efficiently managed, and communication flows seamlessly.
Proficiency in extensive and creative calendar management, adeptly handling complex scheduling demands with finesse and precision. Demonstrates exceptional organization and prioritization skills to manage high volumes of emails, of at least 200 per day, with efficiency and attention to detail.
The Senior Executive Assistant, SVP Regional Operating Officer requires the ability to make informed decisions in ambiguous situations, displaying a keen sense of judgment and problem-solving skills to navigate challenges independently.

- Incorporating the principles of hospitality into the daily interactions strategically when providing administrative support.
- Serve as gatekeeper and gateway to the executive through proactive and strategic complex calendar management to ensure a seamless experience.
- Maintain established calendar expectations, including but not limited to:
- Ensuring accurate scheduling and prioritising.
- Requiring meeting agendas ahead of confirming meeting acceptance.
- Proactively scheduling time for the leader to plan and prepare.
- Utilize CWT Concierge to coordinate travel arrangements and logistics including flights and accommodations.
- Guide the executive’s strategic priorities; identify the areas where they must direct their focus and regularly revisit and evaluate progress.
- Review upcoming meetings to ensure the leader has all of the information needed to be as productive as possible.
- Manage internal and external communications including responding on behalf of the executive.
- Develop documents, presentations, and supporting materials to support the executive and related functional area.
- Keep the executive accountable for commitments while helping keep direct reports accountable for results.
Meeting and Program Management
- Manage the meeting cadence for the executive’s team meetings, ensuring materials are sent in advance, time is well spent, and objectives are achieved.
- Coordinate all aspects of the executive’s responsibilities for internal and external engagements; draft agendas, orchestrate the preparation of related materials and drive responsible parties to meet high consequence deadlines.
Team Management
- Greater ability to drive high performance by developing deeper relationships with their team, and are more equipped to hold people accountable to their commitments.
- Work with leaders on various cross-functional projects to support progress on priority work streams, build decision-making frameworks & deliverables
- Serve as a central source of information.
- Help align leaders on internal processes.
- High School diploma equivalency OR 1 year of applicable cumulative job specific experience required.

- Strong ability to think strategically and proactively in order to make recommendations that align strategy with action.

- Proven track record of managing tasks and requests to close.
- Strong interpersonal skills with the ability to build trust.
- High school diploma/GED with 2 years of experience, or Associates degree, or Bachelor's degree required.
- 5+ years of experience organizing and managing Senior Executives with complex sets of responsibilities and relationships, preferably in large, matrixed, multi-site organizations.
- Detail-oriented and data-driven.
- Strong project management capabilities, both at a tactical and strategic level.
- Proficiency with G Suite products.
