Executive Assistant Part Time
The Executive Assistant is responsible for providing administrative support to the President & CEO and the Board of Governors. This position will also act as a liaison to board members and assist with other related office duties.
The successful candidate will have excellent customer service skills with a high degree of diplomacy, intermediate or advanced computer skills including Microsoft Office Suite, enjoys working with people, and has a positive personality. Part time, approximately 20 hours per week. Schedule can be flexible on work days and times but must be consistent. This is a hybrid remote position.
The mission of the Senior Friendship Centers is to build vibrant communities by advancing wellness, connection, and enrichment throughout the journey of aging. Older adults throughout four counties in Southwest Florida rely on Senior Friendship Centers for help with nutrition, adult day services, social engagement, education, help in times of crisis, and so much more.
Essential Functions:
- Provide administrative support for the Senior Friendship Centers’ President & CEO and Board of Governors; this will include meeting scheduling and management, preparing and sending notices, tracking attendance, taking and sharing meeting minutes, coordinating meeting presentation materials, collecting and maintaining board information, and coordinating new board member orientation and onboarding.
- Schedule, coordinate, attend board and committee meetings (with President & CEO), and keep proper records of all meetings and their attendance.
- Maintain and update information on the board portal.
- Prepare and maintain various complex reports and materials and keep accurate records.
- Organize and coordinate special projects and meetings; including room set-up, presentation materials, and food/refreshment arrangements.
- Fill in as a backup to the Receptionist on an as needed basis.
- Attend staff meetings, training, and seminars as required.
- Participate in fundraising and outreach activities to promote the organization’s mission.
- Must comply with all Senior Friendship Centers personnel policies.
- Must protect the safety and health of staff, volunteers, participants, and others by observing and following the organization’s safety and incident policies.

Education, Experience, Licenses, and Certifications:
- High School Diploma/GED or any equivalent combination of training and experience which provides the requisite knowledge, ability, and skills to perform the essential functions of the job.
- Intermediate computer skills are required; including proficiency with Microsoft Office Suite, data applications, and the ability to quickly learn the organization’s systems for record-keeping.
- Minimum of two years of office administrative, human resources, or board liaison experience.
Physical Demands:
- Prolonged periods sitting at a desk and working on a computer and standing.
- Must be able to lift 30 pounds.
- Must be able to navigate various departments of a physical location.
Travel:
- Travel within the several counties in which Senior Friendship Centers Inc. operates may be required occasionally to support operations, fundraising, and outreach.
- Must have reliable transportation.
- A valid driver’s license and proof of insurance are required for all work-related travel.
Additional eligibility requirements:
- Satisfactory clearance of a fingerprint-based, level II background screening and pre-employment substance abuse testing are required.
- Must be authorized to work in the United States.
