Pay Range: $150,000 - $190,000
Apple Bank is looking for a Senior Executive Assistant to provide day-to-day support to the Chief Executive Officer (CEO), as well as the Chief Human Resources Officer (CHRO). Confidentiality and professionalism are of the upmost importance for this position, which requires handling confidential materials, answering phones, opening/distributing mail, ordering supplies, filing, scanning documents, managing calendars, making travel arrangements, submitting expense reports, coordinating meeting arrangements, and preparing reports for our Board of Directors and internal leadership committees. The Senior Executive Assistant will also act as a liaison to Board members and the Bank's external regulators.
- Prepare monthly promotion charts for Board, as well as monthly promotion memos for bank wide distribution.
- Coordinate building security and approve building work requests.
- Track attendance for Senior Executives.
- Handle files and records that contain information of a confidential nature.
- Prepare expense reports.
- Generate congratulatory and complementary letters.
- Manage Committee Room calendar.
- Upload our Board packages for outside auditors.
- Prepare HR presentations for Board and HR committees.
- Prepare material for Management HR & Benefits Committee meetings.
- Prepare HR related materials for regulators.
- Take minutes for the Management HR & Benefits Committee meetings.
- Submit invoices for payment in BankTEL application.
- Assist Compliance Department in the uploading of customer complaints.
- Prepare organizational charts from Workday HRIS database system.
- Maintain email distribution lists for the organization.
- Anticipate and solve scheduling conflicts on proactive basis.
- Participate as a member of the Bank’s Fire Team.
- Perform other duties as requested.
- Bachelor's degree required.
- Minimum 7 years of experience working as an Executive Assistant, supporting multiple C-Level executives.
- Knowledge of office management required.
- Excellent telephone etiquette.
- Superior organization skills and the ability to effectively handle multiple priorities.
- Must be detailed oriented.
- Sound judgement, professionalism, poise, and ability to maintain the highest level of confidentiality and assertiveness.
- Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other relevant software applications.
- Strong communication skills (verbal & written).
- Excellent interpersonal skills with the ability to work with individuals at all levels of the organization.
