Job Overview
We are looking for a part-time Receptionist to join our growing team. The Receptionist will work onsite in our offices in the Pacific Design Center three days per week (Tuesday, Wednesday, and Thursday) from 8:30AM-5:30PM. They will act as the gatekeeper for arrivals and assist with overall office management. The ideal candidate is personable, reliable, and detail-oriented. The role is based in West Hollywood and reports directly to the Operations Manager.
Job Responsibilities
- Office
- Opening and closing the office Tuesday - Thursday
- Office organization and upkeep, including maintaining supplies and inventory
- Gatekeeper for arrivals and assisting with meeting set-up
- Send and receive mail and deliveries
- Assist Operations Manager with office management duties as needed
- Errands as needed
- Operations
- Assist with operations and office technology as directed by the Operations Manager
- Assist with employee and client gifting
- Assist with internal events including All Agency meetings
- Assist the Operations Manager in the reconciliation of travel and FedEx expenses; create and share monthly FedEx reports
- Update agency calendar
- Provide overall administrative support for the Operations Manager
- Human Resources
- Recruitment scheduling and communications
- Maintain applicant tracking and freelance grids
- Assist with onboarding and offboarding
- Assist with updates to company documents (org chart, onboarding deck, etc)
Job Qualifications
- Office management or administrative experience preferred
- Punctual and reliable with the ability to commute easily to our offices in West Hollywood
- Excellent verbal and written communication and people skills
- Highly organized with the ability to handle multiple priorities with ease
- Meticulous attention to detail
- Technologically savvy with the ability to master new programs quickly
Pay Rate: $19.08 per hour, 24 hours per week
