The Mailworks is a woman owned family business specializing in the creation and distribution of direct mail campaigns for a nation-wide customer base. The Mailworks operates 24 hours a day, usually 6 days a week. The team of 80+ employees range from executives, marketing specialists, designers, developers, and production workers.
The Production HR Specialist is primarily responsible for recruiting, providing HR support, and monitoring performance of the production staff. This encompasses a wide range of HR functions, including recruitment, employee relations, compliance with labor laws, benefits administration, and disciplinary management.

Duties:
HR ASSISTANCE
- Actively log employees using the Employee Performance Log for positive, negative, and neutral
- Advise, coach and mentor the Production employees on how to handle a variety of HR issues to provide support
- Collaborate with the Production Support Specialist to monitor and ensure that new employees are achieving predefined success indicators
- Manage production human resources issues, escalating major concerns to the VP of Administration
- Assist Vice President with employee meetings, disciplinary actions, employee calls & communication
- File employee annual review documentation
- Attend weekly Admin L10 meeting and execute assigned Rocks to reach company goals
COMPLIANCE
- Ensure compliance with local, state, & federal laws
- Attend workshops, seminars, or courses regularly to stay updated on the latest employment laws and regulations
- Support the VP of Administration in implementing compliance-related changes and initiatives
ONBOARDING AND EMPLOYEE MONITORING
- Oversee Production new hire onboarding and work with the Production Support
- Present the Onboarding Deck to new employees with professional enthusiasm
- Specialist to ensure new employees are integrated effectively into the team
- Attend production training kickoff meetings to provide oversight and ensure compliance with established procedures
- Conduct the 30/60/90-day check-ins with new employees to assess their progress in training, ensure they are receiving the necessary support for their role, and evaluate their fit within the company's culture and expectations.
- Supply new production employees with 5 company shirts
- Work with the VP of Administration to keep the onboarding decks up to date
- Compose job offer emails and/or letters, including details like hourly wage, schedule, uniform, Job Description, ADA document, and I-9 information
RECRUITMENT AND TALENT ACQUISITION
- Manage the Production recruitment process, including job postings, screening resumes, coordinating interviews, and managing job offers.
- Update & maintain job postings on Indeed, with recruiters & marketing department
- Develop and maintain relationships with recruitment agencies and other sources of potential candidates
- Identify effective recruitment channels, including job boards, social media, professional networks, and industry-specific platforms
- Proactively source candidates through various channels, including LinkedIn, industry-specific forums, and networking events
- Maintain a proactive, consistent recruitment approach with a steady stream of candidates at all times
- Schedule and facilitate formal interviews with candidates and the DOP and Supervisors

Required Skills/Abilities:
- Proficiency in managing the entire recruitment process
- Excellent verbal and written communication abilities for engaging effectively with potential candidates and current employees
- Ability to use Google Suite, Asana, and complete administrative paperwork
- A strict adherence to process and standard operating procedures
- Strong skills in developing and maintaining relationships with recruitment agencies, educational institutions, and other sources of potential candidates
- Ability to oversee and refine the onboarding process, ensuring new hires are effectively integrated into the company
- Proficient in identifying and selecting candidates who align with our core values, and ensuring new hires demonstrate GWC
- Ability to follow our HR processes and procedures
- Ability to foster an inclusive workplace that respects and values diversity
- Maintaining confidentiality, particularly when handling sensitive information or HR-related matter
