What will the Part Time Office Administrator Do?
The Office Administrator serves as the backbone of administrative operations, ensuring the smooth functioning of day-to-day activities. They will oversee aspects of office management, from supplies and facilities to scheduling and correspondence. Acting as the central point of contact, they liaise with external parties and support internal teams, facilitating seamless communication and collaboration.
Hours Needed: Flexible up to 10 hours per week between 8-5p Monday-Friday CST with the flexibility to increase hours as needed for varied onsite office events, meetings or business needs.
Responsibilities:
- Efficiently manage all administrative tasks and office operations to ensure smooth functioning.
- Oversee office supplies, kitchen supplies, equipment, and facilities, ensuring everything is well-maintained and operational.
- Coordinate office logistics, such as scheduling meetings, managing calendars, and organizing travel arrangements.
- Serve as the primary point of contact for external vendors, clients, and visitors.
- Manage deliveries and process incoming and outgoing mail.
- Support gifting to associates, vendors and partners of Coterie.
- Support Marketing team with Coterie swag needs.
- Maintain and improve office procedures and policies to enhance efficiency and productivity.
- Handle incoming inquiries and correspondence, both electronically and in person.
- Assist in budget management and expense tracking for office-related expenditures.
- Support management with various administrative tasks and special projects as needed.
- Act as a liaison between different departments within the organization, facilitating communication and collaboration.
- Take initiative to identify areas for improvement and implement solutions to streamline processes and enhance overall office functionality.
- Light janitorial duties include trash removal and cleaning of office spaces, kitchen areas and restrooms.
- Support operations team with miscellaneous project work.

- Previous experience in administrative roles, ideally in an office setting
- Proficiency in Microsoft Office Suite and other office software
- Strong organizational and communication skills
- Ability to multitask, prioritize tasks, and work well under pressure.
- Reliable transportation, including a valid drivers’ license for job-related travel.
What to expect!
Our hiring process generally consists of 3 phases.
- Phase 1: Qualified candidates will first meet with People Operations team for a phone interview. This discussion is a high-level conversation to understand more about your background and interests and for us to share more about Coterie and the position.
- Phase 2: Selected candidates will then meet our Hiring Manager for the 2nd interview via Teams video. This interview is designed to be more detail oriented and allows you to learn more about the role.
- Phase 3: Top candidates will receive an invite for our final interview series via Teams video. This series will include an experiential exercise project (provided in advance), 1:1 interviews with selected team members and a culture focused interview. The final series is roughly 1.5 hours in total but can be scheduled over a few days for flexibility.

- The salary range for this position is estimated between 25-30.00/hr.
