Responsibilities Include:
- Manage phone systems and handle incoming calls with professionalism and excellent phone etiquette
- Oversee the front desk operations
- Process work estimate requests
- Process accounts payables and accounts receivables using Quickbooks
- Prepare invoices
- Prepare monthly statements
- Data entry including customer information, proposals, etc.
- Manage and organize files, both physical and electronic, ensuring accuracy and confidentiality
Requirements:
- Minimum 5 years experience in office administration or related field
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Proficient in using common office software including Microsoft Office Suite (Word, Excel, Outlook) and Quickbooks
- Attention to detail and accuracy in all aspects of work
This is a full time position with reduced hours during the winter months (24-30 hours per week for 2-3 months). The primary responsibilities of this position include customer service, customer relationship management and general administrative duties. The Office Administrator will be the first point of contact for our customers. The position calls for sound judgment, great communication skills and the ability to multi task.
