Job Description:
Conceptual and operational support of the Senior Vice President, Region Americas and his leadership team in daily operations. Management and coordination of general office tasks and administrative duties, such as directing communications between colleagues and customers, organizing schedules and events, entering data, maintaining office equipment and additional duties as needed.
Main Accountabilities:
Ensure a highly professional representation of the company and the respective image of the Executive Office.
High level organizational and planning skills, judgment and decision-making ability, initiative, confidentiality, and attention to detail.
Maintains and prioritizes daily action items for personal follow up and management.
Assists and relieves manager of a variety of complex administrative duties involving contact and exposure to proprietary information.
Collects and prepares information for use in discussions/meetings of executive staff and outside individuals.
Coordinate with Purchasing the Ordering/Maintenance of office & meeting supplies. (Stationery, Vending, Coffee etc.)
Ability to react to and manage quickly changing circumstances in a fast-paced work environment.
Manage agendas, domestic and international travel plans and appointments for upper management.
Provide high-level administrative support by handling information requests and performing clerical functions such as preparing correspondence, receiving visitors, arranging conference calls, scheduling meetings, assembling information, and preparing materials including itineraries.
Manage the SVP's calendar, requiring interaction with both internal and external executives as well as customers, to coordinate a variety of complex executive meetings.
Receive and greet all scheduled visitors and providing any initial assistance as needed for that meeting.
Coordinate customer and team events (planning, logistics, attendee confirmations, etc.)
Support HR with talent acquisition
Assist colleagues whenever there is an opportunity to do so.
Assist Marketing Department with Trade Show Activities as needed.
Effectively coordinate vacation schedules and telephone coverage in advance with other Administrators (e.g. coverage during breaks, mealtimes, out of office appointments, vacation days. etc.).
Requirements
Requirements:
Minimum of three years related administrative experience at the executive level
Bachelor's degree in business management or a related field
Ability to work independently, exercises sound judgment.
Excellent communication and organizational skills.
Ability to prioritize and attend to multiple assignments.
Possess a high degree of professionalism and confidentiality in interactions with all levels of internal personnel and external clients.
Work requires broad and comprehensive experience, skills and a thorough knowledge of organization policies and practices.
Fluent English in written and verbal communication.
Customer-focused mindset and a commitment to delivering exceptional service.
Proficiency in Office 365 Applications (Outlook, Word, Excel, PowerPoint, Teams).
