We are seeking a highly organized and detail-oriented Office Administrator to join our team. As an Office Administrator, you will play a crucial role in ensuring the smooth operation of our office and providing excellent customer service. Qualified candidates will be detail oriented, ability to multi-task, strong organizational and communication skills, proficent in Microsoft Office product and Quickbooks.
-Daily and weekly responsibilities:
- Answering incoming phone calls and schedule service calls
- Enter service estimates in Quickbooks
- Correspond with customers to ensure services were performed to their satisfaction and answer follow up questions
- Maintain the Work Order and A/R spreadsheets in Excel
Biweekly and monthly duties:
- Enter payroll in HR system and ensure timely and accurate submission of pay records.
- Maintain the GL report, payroll register and invoicing
- Reconcile bank and credit card accounts on a monthly basis
- Adminstration of inventory
- Work with company Accountant to ensure accuracy of all business and payroll related expenses
- Other duties as assigned
Requirements:
- Proven experience in an administrative or front office management role
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent written and verbal communication skills
- Proficient in Quickbooks and Microsoft Office Suite and advanced Excel skills
- Ability to handle confidential information with discretion
- Strong attention to detail and accuracy
- Ability to work independently with minimal supervision
