Job Summary:
We are seeking a capable and detail-oriented Administrative Assistant. The successful candidate will be responsible for handling administrative tasks, coordinating office operations, and assisting with various projects as needed. This position offers an excellent opportunity to contribute to the efficient functioning of our municipal office and work closely with management to ensure the smooth operation of daily activities.

Responsibilities:
Provide administrative support to the Municipal Manager, including managing schedules, organizing meetings, and coordinating appointments.
Assist in drafting and proofreading correspondence, reports, and other documents.
Maintain accurate records, files, and databases, ensuring confidentiality and security of sensitive information.
Answer and screen phone calls, handle inquiries, and direct visitors as necessary.
Manage incoming and outgoing mail, emails, and faxes, prioritizing and distributing them appropriately.
Assist in preparing and distributing meeting agendas, materials, and minutes.
Assist in budget tracking, expense reconciliation, and procurement processes.
Collaborate with other departments and external stakeholders to facilitate communication and information exchange.
Perform general office duties such as photocopying, scanning, filing, and maintaining office supplies.
Performs other duties as deemed necessary.
Job Location
This position is mainly located at the North Wales Borough Municipal Building. Although there may be occasional traveling off site to various sites within and outside the Borough.
Qualifications:
Proven experience as an Administrative Assistant or in a similar support role.
Strong organizational skills with the ability to prioritize tasks and manage multiple responsibilities effectively.
Excellent communication and interpersonal skills, both written and verbal.
Proficiency in Microsoft Office Suite (Word, Excel, PowerPoint, Outlook) and other office software (QuickBooks).
Attention to detail and accuracy in data entry and record-keeping.
Ability to maintain confidentiality and handle sensitive information with discretion.
Flexibility to adapt to changing priorities and work independently with minimal supervision.
Knowledge of office equipment and procedures.
High school diploma or equivalent; additional education or certifications in office administration or related field is a plus.
Familiarity with municipal government operations and policies preferred.
