ERG is seeking an Executive Assistant to the Manufacturing Manager to provide comprehensive support services in a fast-paced business and manufacturing environment. This position will be essential for ensuring smooth operations within the organization by coordinating, scheduling, tracking, creating documents, and providing other management and administrative support to the Manufacturing Manager. This position needs an individual who is attentive to details, has strong organizational skills, can prioritize and finish tasks on time, and can work both on their own and with others.
This position will be full-time at the federal site in Indian Head, MD, and will include interaction and support from ERG personnel at the federal site, as well as from ERG's Chantilly and Arlington offices. Indian Head is approximately 30 miles from Washington, DC, 25 miles from Alexandria, VA, and 60 miles from Fredericksburg, VA.
Job Description:
- Scheduling and coordinating meetings, conferences, and events
- Preparing and editing reports, memoranda, meeting minutes, agendas, presentations, and other documentation
- Handling general office tasks such as answering phone calls and responding to emails
- Managing and tracking others' schedules, actions, and day-to-day activities
- Developing, managing, and maintaining an efficient document management system
- Organizing, categorizing, and serializing documents to ensure easy retrieval and accessibility.
- Collaborating with team members to ensure consistency and accuracy in document formats
- Tracking revisions, updates, and approvals for various documents
- Ensuring compliance with document retention policies
- Performing action item management
- Documenting, tracking, and monitoring action items assigned during meetings or through various communication channels.
- Following up on pending action items to ensure timely completion
- Prioritizing and categorizing action items based on urgency and importance
- Communicating progress and updates to relevant stakeholders
- Working closely with team members to facilitate the resolution of outstanding action items
- Providing communication and coordination support
- Developing and providing formal and informal written and verbal communication to a wide range of stakeholders, disciplines, and departments
- Acting as a liaison between team members, departments, and external stakeholders
- Facilitating effective communication flow within the organization
- Coordinating and disseminating information related to action items, deadlines, and key tasks
- Fostering a collaborative and communicative work environment
Qualifications and Skills:
- Bachelor's degree or equivalent experience
- Ability to independently plan, schedule, coordinate, and generate documents
- Proficient in Microsoft Office suite, including Word and Excel
- Experience with Microsoft Access and Project is ideal
- Have or be able to obtain a DoD Secret Security Clearance
