- Accurately and efficiently process daily incidents of alleged abuse received by the Disabled Persons Protection Commission (DPPC) within the HCSIS system and in accordance with directives from the Senior Investigator. Intakes of emergency nature must be processed immediately. Create, label, and maintain physical case files for any material that may not be electronically maintained within the HCSIS system.
- The master file folder must include the name of the Individual, DDS log number, and DPPC Intake number(s), and any case information that cannot be uploaded into the HCSIS system. The file folder will be clearly identified by DDS Log and DPPC intake numbers and indicate whether the intake is screened in or out. A document clearly explaining the contents and location of the physical file must be uploaded to the corresponding case within the HCSIS system.
- File all master file folders in the appropriate file cabinet in sequential order. Maintain an accurate filing system that provides for expeditious retrieval of cases and information.
- Generate reports and complete all special assignments as requested by the Senior Investigator, Deputy Director, or Director.
- Handle all intra-agency, inter-agency, and external inquiries professionally and expeditiously, and make certain to keep the Senior Investigator informed of any sensitive information.
- Identify deficiencies within the investigative systems/procedures and make appropriate recommendations concerning improvements in quality and efficiency.
- Provide administrative support to the unit, including but not limited to typing, photocopying, filing electronic and physical documents, faxing, scheduling appointments, coordinating office activities/meetings/events, ensuring the office maintains adequate supplies, and lending basic technical support relative to HCSIS, Meditech, and Microsoft Outlook, Word, and Excel.
- Mail all required materials to the appropriate parties as directed by the Senior Investigator.
- Maintain all incoming and outgoing mail and deliver to appropriate staff as designated by the Senior Investigator.
- Participate in meetings and maintain meeting minutes, as directed by the Senior Investigator.
- Dispose of all materials of a confidential nature in an approved manner as directed by the Senior Investigator and where required following the receipt of the required authorization.
- Maintain the confidentiality of Investigation Division business with the utmost confidence.
- Applicant must have at least two years of experience in office management, office administration, business administration or business management.
- Demonstrated ability to use Microsoft Outlook, Office, and Excel.
- Demonstrated ability to answer telephone calls in a pleasant and professional manner.
- Effective interpersonal and communication skills, both verbal and written.
- Ability to maintain an accurate and complete record keeping system.
- Ability to exercise sound judgment and discretion in handling confidential information.
- Ability to understand and apply the rules, policies, procedures, specifications, standards, and guidelines relating to the operations and business of the unit.

Office Support Specialist I:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
