Office Support Specialist I: 240003CT
The Department of Developmental Services (DDS) has an excellent career opportunity for a highly motivated individual for an Office Support Specialist I position at the Southeastern Residential Services located at the Regional office in Middleboro, MA. This position supports the effective operation of Southeastern Residential Services and Commonwealth Enterprises through administrative support to the Executive Director responsible for 175 Individuals living in 50 homes and 2 supported employment work sites.
Job Responsibilities: (The duties and responsibilities stated are general summary and not all inclusive.)
- Assist with the development, revision, and oversight of agency policies and procedures manual(s).
- Prepares reports and compiles data using computer software/databases.
- Answers phone, drafts and analyzes correspondence, responds to inquiries, filing, data management, faxing, copying, and scanning documents.
- Schedules and attends regular meetings as assigned for the Management Team; maintains minutes and records.
- Operate standard office machines and equipment such as photocopiers, fax machine, computer, and calculators. Ensure ongoing functionality of equipment.
- Monitor assigned agency projects and tasks.
- Provides supervision to two office staff.
- Conducts performance appraisals.
- Monitors and maintains office supplies and inventory.
Preferred Qualifications:
- Proficient with Microsoft Office Suite, specifically Outlook/Excel/Access/Word.
- Excellent organizational and communication skills.
- Ability to multi-task and prioritize, as well as work independently and as a member of the team.
- Ability to file material in accordance with standard filing procedures and maintain accurate records.
- Strong written and verbal communication skills with an aptitude for use of proper grammar, punctuation, and spelling.
- Knowledge of clerical office practices and procedures including recordkeeping, office correspondence control, typing and use of office equipment, supplies and business preparation.
- Skilled in use of operating general office machines and equipment.
Agency Requirements:
- Must be at least eighteen (18) years of age.
- Must possess current and valid Class D Motor Vehicle Operator's License.

- The work location is at the Southeastern Regional Office, in Middleboro, MA.
Schedule Information:
- Full-time - 37.5 hour weekly position
- Schedule - Monday through Friday from 9:00 a.m. - 5:00 p.m.
- Days off - Saturday and Sunday

ALL EMPLOYEES ARE PAID ON A BI-WEEKLY BASIS AND MUST HAVE DIRECT DEPOSIT.
This is a Civil Service position. If there is no Civil Service list for this title, employees appointed must take and pass the next Civil Service examination when administered.

Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
