The Department of Fire Services (DFS) is seeking qualified applicants for the position of Office Support Specialist I at our Stow, Massachusetts facility. The Department of Fire Services is an agency within the Executive Office of Public Safety and Security and is responsible for fire related education, prevention, investigation, inspections of boilers and pressure vessels and emergency response.
The Office Support Specialist provides assistance and administrative support for the boiler and pressure vessel inspection and certificate program. The ideal candidate will have proficiency in Microsoft Word, Excel and in database data entry and will provide customer support to boiler and pressure vessel customers.
Periodic criminal background checks, including fingerprinting are required in compliance with the Commonwealth’s Criminal Justice Information Services regulations and applicable policies.
Duties and Responsibilities (these duties are a general summary and are not all inclusive):
Processes all boiler and pressure vessel permit applications, reports, violation notices, invoices, certificates, license applications and renewals, including checks, payments and other paperwork related to the boiler and pressure vessel licensing, inspection and certificate program.
Upon review and in accordance with division policy, issues certificate of inspections, after ensuring complete information is submitted or updated as necessary.
Print and mail daily all certificates of inspection, invoices, violation notices for the boiler and pressure vessel program.
Prepare reports, as needed, on all boilers and pressure vessel certificate of inspections and licensing functions and any related issues; prepares other reports in inspection and licensing database; responds to inquiries by licensees, owner /user, insurance industry, local and state enforcement agencies.
Provides required reports, memoranda, and correspondence in a timely manner.
Maintains “How to Book” on all activities and functions and responsibility, which provide efficient hand-off of vital duties during an employee’s absence.
Assists as back up to various office functions including, but not limited to conducting monthly trade licensing exams.
Checks the accuracy of typed and printed material by proofreading or editing to ensure proper form and conformance with original data.
Provides telephone coverage for the Department of Fire Services when necessary.
Performs related duties such as maintaining routine records, photocopying, scanning, indexing, faxing, filing, opening mail, logging incoming mail and other duties within the Division as required.
- Salary placement is determined by years of experience directly related to the position and the Human Resource Division’s and Bargaining Unit's recruiting guidelines. Generally, a substantial number of years’ experience is necessary to attain the higher end of the salary range.

Office Support Specialist I:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
Specialty Requirements, Based on Assignment:
Periodic criminal background checks, including fingerprinting are required in compliance with the Commonwealth’s Criminal Justice Information Services regulations and applicable policies.
