Taunton State Hospital is seeking an Office Support Specialist I to support the Nursing Department in activities that ensure adequate staffing and promote timely sharing of essential information both inter and intra departmentally. Maintains the schedule for the nursing staff, including orientation and training schedules. Assists in the record keeping and analysis of overtime data. Arranges meetings with internal and external contacts. Responds to inquiries and assists with various office programs.
Please note: This position is 37.5 hours from 9 a.m. to 5 p.m. Days off are Saturday and Sunday.
Duties and Responsibilities (these are a general summary and not all inclusive):
- Monitors and updates the electronic staffing schedule.
Collaborates with Nursing Educator, Nurse Manager/s and Nurse Executive to coordinate scheduling of new employee orientation, secondary OT orientation and staff trainings. - In collaboration with OT scheduler, acts as the backup to maintain overtime sign up log and tracking books.
Communicates staffing needs effectively to supervisors and nursing administration. - Compiles overtime data entered for the Nursing Department within specified applications/ electronic files,and submits to designated administrative staff at the end of each payroll cycle.
- Provides direct support to the Nurse Executive, Nurse Managers and Nursing Supervisors on a daily basis.
- Provides back up for timesheet corrections and approvals.
- Attends unit and departmental staff meetings and provides support as minute taker as assigned/ requested.
- Supports the Executive Nurse in managing Nursing Department PI Projects including collecting, aggregating, and analyzing data for use in designated Performance improvement initiatives, taking and distributing meeting minutes and securing votes for approval as assigned.
- Coordinate with Executive Nurse / Director of Nursing, Managers and RN supervisors to schedule and support interviews for employee candidates, investigations, promotions.
- Works with fact finders and investigators to gather requested information as assigned.
- Creates and maintains databases and spreadsheet files.
- Types and photocopies minutes of unit/ department meetings and other items as requested, including Nursing Leadership meetings, Nursing Supervisor meetings, Letters, Program schedules, attendance sheets, unit-based forms, and protocols, and distributes as assigned.
- Pre-admits patients as assigned.
- Schedules conference rooms as requested by nursing staff.
- Checks emails regularly for important hospital and department communication.
- Acts as the backup to the OSS Scheduler, and Medical Clinic unit clerk- performs functions as requested/assigned.
- Participates in performance improvement teams as assigned.

- Experience working within a nursing department.

Taunton State Hospital (TSH) operated by the Department of Mental Health (DMH) is a 45-bed inpatient facility that provides continuing care inpatient services to adults with major mental illnesses. Office Support Specialist I:
Applicants must have at least (A) two years of full-time, or equivalent part-time, experience in administrative work experience or (B) any equivalent combination of the required experience and the substitutions below:
Substitutions:
I. An Associate's or higher degree with a major in business administration, business management or public administration may be substituted for the required experience.
II. An Associate's or higher degree with a major other than in business administration, business management or public administration may be substituted for a maximum of one year of the required experience.
Education toward such a degree will be prorated on the basis of the proportion of the requirements actually completed.
Educational substitutions will only be permitted for a maximum of two years of the required experience.
