Overview:
We are seeking an experienced and highly organized Office Manager to join our team. As the Office Manager, you will be responsible for overseeing the day-to-day operations of our office, ensuring efficiency and productivity. This is a key role that requires strong organizational skills, attention to detail, and the ability to multitask effectively.
Responsibilities:
- Oversee and support all administrative duties in the office and ensure that office operations are efficient and add maximum value to the organization.
- Responsible for all aspects of data entry and maintenance of the Quickbooks accounting system.
- Manage bank deposits, accounts payable and bank reconciliation.
- Manage account receivable including data entry, invoice creation, collections and customer inquiries ensuring all items are invoiced and paid on time.
- Manage office supplies inventory and place orders as necessary.
- Manage stock inventory levels, placing orders and invoicing as necessary.
- Manage client inventory, placing orders, receiving and invoicing.
- Perform receptionist duties: greet visitors, and answer and direct phone calls.
- Receive and sort incoming mail and deliveries, and manage outgoing mail.
- Provide administrative support for operations team.
- Monitor office expenditures and handle all office contracts (rent, service etc.).
- Handle sensitive information in a confidential manner.
- Ensure that all items are invoiced and paid on time.
- Manage contract and price negotiations with office vendors and service providers.
Experience:
- Proven experience as an Office Manager, Office Assistant, Bookkeeper or relevant role.
- Proficiency with Intuit Quickbooks accounting software.
- Proficiency in the use of spreadsheets.
- Strong organization skills with a problem-solving attitude.
- Excellent written and verbal communication skills.
- Attention to detail and high level of accuracy.
- Proficient in MS Office; familiarity with email scheduling tools.
- Knowledge of office management systems and procedures.
- Outstanding leadership, organizational, multitasking, and planning abilities.
- Strong problem solving skills and proven ability to organize and manage multiple priorities.
- High school diploma; additional qualifications in Office Administration are a plus.
