Job description

Overview:
We are seeking an exceptionally skilled administrative professional to join our team as an Office Manager that aids in maintaining the office along with managing day to day office processes, coordinating small projects, fostering company culture, and maintaining the overall facility. The ideal candidate will be experienced in handling a wide range of administrative and executive support-related tasks and will be able to work independently with minimal supervision. This person must be exceedingly well organized, flexible, and comfortable with the challenges of supporting a department of highly motivated people.
Duties and Responsibilities:

  • Plan, organize and coordinate any special projects and work activities in support of the business's operations (i.e. office expansion, external visit planning, etc.)
  • Assemble and analyze information, prepare reports, presentations, agendas for external and internal meetings.
  • Develop and prepare monthly and quarterly management reporting for use by the executive team.
  • Serve as an excellent company representative when interacting with external customers, suppliers, and employees.
  • Manage and coordinate all logistical details for efficient use of facility and assistance for teams on site - meeting rooms, stocking of office and kitchen supplies, etc.
  • Lead the visitor management process for the site. Ensure compliance with all visitor management processes and protocols.
  • Work with site leaders as necessary to coordinate any building repairs & maintenance, capital improvements, etc.
  • Provide general administrative support to a diverse group of functional teams and leaders including but not limited to engineering, business development, marketing, supply chain, operations, human resources, etc.
  • Organize, plan, and lead engagement and community relations events.

Qualifications:
  • 3+ years of relevant experience managing an office in an engineering or manufacturing setting.
  • Strong analytic skills with advanced knowledge of MS Office applications.
  • Excellent analytical skills, attention to detail, professional demeanor.
  • Excellent written and verbal communication skills.
  • Strong track record of delivering results in a timely manner and leading projects that require a high level of coordination with multiple stakeholders.
  • Understanding of budgets, planning and general project management principles.
  • Must be comfortable working in a fast-paced environment, able to act with a sense of urgency, and desire to contribute to the growth of the company.
