Office manager for a new adolescent outpatient Mental Health and addiction services program.
Responsibilities:
- Oversee daily office operations and ensure smooth functioning of the office
- Manage phone systems, including answering and directing calls
- Greet visitors and provide assistance as needed
- Maintain office supplies inventory and place orders when necessary
- Handle incoming and outgoing mail and packages
- Coordinate meetings and appointments, including scheduling and preparing meeting rooms
- Assist with human resources tasks, such as onboarding new employees and maintaining employee records
- Manage office budgets and expenses, including tracking and reconciling invoices
- Coordinate travel arrangements for staff members
- Support payroll processing by collecting and verifying timesheets
Qualifications:
- Proven experience as an Office Manager or in a similar administrative role
- Proficient in using office software, such as Microsoft Office Suite (Word, Excel, PowerPoint)
- Strong organizational skills with the ability to prioritize tasks effectively
- Excellent communication skills, both written and verbal
- Knowledge of basic accounting principles and budgeting processes
- Familiarity with human resources procedures and practices
- Ability to handle confidential information with discretion
- Strong attention to detail and accuracy in work
