Job Summary:
We are seeking a highly organized and detail-oriented Office Assistant to join our team. The Office Assistant will be responsible for providing administrative support, managing office operations, and ensuring smooth day-to-day functioning of the office. The ideal candidate will have excellent communication skills, strong organizational abilities, and a customer service mindset.
Duties:
- Greet and assist visitors in a professional and friendly manner
- Answer phone calls and direct them to the appropriate staff members
- Respond to customer inquiries and provide exceptional customer support
- Manage incoming and outgoing mail, including sorting, distributing, and preparing packages for shipment
- Schedule appointments and maintain calendars for staff members
- Perform general clerical duties such as filing, photocopying, scanning, and data entry
- Coordinate meetings and conferences, including booking meeting rooms and arranging for necessary equipment
- Assist with basic bookkeeping tasks such as invoicing and expense tracking
Experience:
- Previous experience as a receptionist or in an office management role is preferred
- Proficient in computer applications such as Microsoft Office Suite
- Strong organizational skills with the ability to multitask and prioritize tasks effectively
- Excellent written and verbal communication skills
- Customer service-oriented with a professional phone etiquette
