We are seeking a dynamic and organized individual to join our property management team as an Office Administrator. The ideal candidate will play a crucial role in ensuring the smooth operation of our office, providing exceptional administrative support, and contributing to the overall efficiency of our property management processes.
Key Responsibilities:
- Greet Residents: Warmly welcome and assist residents upon their arrival, providing excellent customer service.
- Property Management Software: Utilize property management software to maintain accurate and up-to-date records of resident information, maintenance requests, and other relevant data.
- Maintenance Request Monitoring: Track the progress of maintenance requests, ensuring timely resolution and communication with residents.
- Financial Administration: Process checks, coordinate the collection of insurance and W9s with the bookkeeper, and assist in financial record-keeping tasks.
- Communication: Create and send mailers, letters to property owners, and other correspondence as needed. Handle phone calls, address resident inquiries, and maintain effective communication channels.
- Calendar Management: Manage the company calendar, schedule meetings, and coordinate appointments to ensure efficient use of time.
- General Office Administration: Perform standard office administrative tasks, including filing, data entry, and maintaining office supplies.
Qualifications:
- High school diploma or equivalent; additional qualifications in office administration or property management are a plus.
- Excellent organizational and multitasking abilities.
- Strong communication and customer service skills.
- Attention to detail and ability to maintain confidentiality.
- Familiarity with basic accounting principles is desirable.
