Position Overview: We are seeking an initiative-taking and meticulous Office Administrator to join our team in Sacramento, CA. This position provides administrative support to the Service Center in the areas of reception, billing, collections, customer service, purchasing, inventory control, technician timecards, shipping and receiving.
Key Responsibilities:
- Office Management: Ability to organize, multitask, work under pressure, and apply critical thinking skills. Maintain a well-organized and efficient office environment by managing supplies, Petty cash, coordinating office equipment maintenance, and managing other general administrative tasks.
- Front Desk Operations: Provide an effective customer service in person and by phone/online; answer, route and manage incoming phones calls in a professional and courteous manner.
- Administrative Support: Provide administrative support in processing customer transactions that includes but not limited to data entry, order processing, invoicing, collections, reports, customer maintenance contract management and tracking of personnel hours for payroll.
- Communication: Facilitate internal and external communication by answering phone calls, responding to emails, and relaying messages promptly and accurately.
- Shipping/Receiving: prepare out going shipments; receive and route incoming shipments. Must be able to lift 35lbs.
- Dispatching: Assist with technicians work schedule with customers.
- Inventory: Manage and order parts, office supplies. Perform inventory counts.
Qualifications:
- High School diploma or general education degree or 1-year related experience in dispatching, office management, collections or billing is preferred.
- Proficiency in Microsoft Office Suite (Word, Excel, Outlook) and other relevant software applications.
- Excellent communication skills, both written and verbal.
- Strong organizational and time management abilities, with a keen eye for detail.
- Ability to multitask and prioritize tasks effectively in a challenging environment.
- Demonstrated professionalism and discretion in handling confidential information.
- Previous experience in a customer-facing role is a plus.
