What you’ll be doing
We're looking for an Office Administrator who can make a great impression as our first point of contact on the phone and in person. Our Office Admin is the go-to person for all things office-related: transferring calls, delivering messages, managing mail, and everything else that keeps the office running smoothly. In addition, our Office Admin supports the accounting team with basic accounting duties. Our ideal Office Administrator candidate is organized, comfortable with technology, has basic bookkeeping experience, and knows how to multitask effectively.
Key Duties
Answer and route inbound phone calls using a multi-line phone system
Manage incoming and outgoing mail and packages
Support accounting function with data entry, insurance follow-up, and basic bookkeeping
Coordinate with cleaning staff; maintain day-to-day cleanliness of common areas
Assist with event planning, organizing office lunches, and employee recognition
Other duties and projects as assigned
About You
You're a great communicator who is comfortable on the phone, in person, and over instant messenger/email. You're organized, detail-oriented, and can multitask effectively to see projects to completion. You’re familiar with or can quickly learn the tools that we use (Spreadsheets, Docs, Slack, Google Apps, Zoom, etc) and are generally comfortable with technology.
Qualifications
This is a full-time in-office role, based in our Petaluma office
Excellent phone presence
Excellent written and verbal communication skills
Ability to effectively multitask and prioritize
Proficiency with computer-based software - Google Apps, Zoom, Slack
Some experience in office administration or other related fields required
Experience or interest in bookkeeping preferred
What we're offering
$18 - $26 per hour depending on experience
