Description- The primary role of the Office Manager is direct communication with current and future clients, ensuring 100% satisfaction during each form of contact with the company. Under general direction of the company owner, utilizing industry specific CRM software and strong managerial skills, the Office Manager is responsible for thorough management of client information, company information, incoming leads, scheduling services, and preemptive communication with clients. Emphasis on organization, client management, and communication skills.

- Answering incoming calls and ensuring client satisfaction during each call.
- Recording the substance of each call, client information, service/ estimate requests, payments, and ensuring any issues are resolved in a timely manner.
- Responding to emails, forwarding emails to the correct point of contact, ensuring all responses are performed in a set time-frame.
- Managing payment information, collection of open invoices, creating new invoices, creating estimates from the production teams or operational management team.
- Repeat contact with prospects and current clientele.
- Managing forms of contact for open and closed project estimates.
- Managing vendor and supplier relations with the company.
- Managing employee documents, disciplinary reports, tax and employment verification files, etc.
- Calculating and issuing payroll on a bi-weekly basis.
- Managing company documents and incoming mail.
Requirements-
- High school degree or equivalent.
- Knowledgeable in Microsoft Word and Excel, internet search engines, and email platforms.
- Prior experience with client relationship management (CRM) software preferred But training is provided.
- Prior experience as a client service representative, office manager, receptionist, or administrative assistant.
- Clean background and willing to undergo a background check that will pass certain requirements.
- Ability to manage multiple responsibilities in a fast pace environment.
- Must have a valid driver’s license and reliable transportation- certain tasks may require driving from a central office to a nearby satellite location to deliver or pickup paperwork, etc.
- Must posses strong managerial traits and a happy, up-beat attitude.
- Must be able to work diligently, often alone.
Job Type: Full-time
Pay: From $19.00 per hour
Expected hours: 40 per week
