Job description

We are looking for an Intermediate level Front Office Administrator to join our growing team and become an integral part of our Front Office administrative staff. You will be the ‘face’ of our company and ensure visitors receive a heartwarming welcome to promote our company’s mission to keep the “care” in healthcare. You will coordinate front desk activities, including calls, scheduling and client services; as well as creating and maintaining our professional relationships with referral sources, payors and vendors. As a Front Office Administrator, you should combine a pleasant personality with a dynamic professional attitude to be a part of our team mentality here at REHAB AT WORK and promote our company vision to make a significant difference in the healthcare system by providing exceptional customer service.

Our ideal candidate can deal efficiently with complaints, has a solid customer service approach, and can work well with a diverse team across multiple locations. Ultimately, you should be able to ensure our front desk provides professional and friendly service to our clients while supporting clinical and senior administrative staff.

We are seeking applicants for a full-time salary position. This position may require traveling to other REHAB AT WORK locations between Maryland & Virginia, as assigned; with the home office being in Glen Burnie, MD.

Responsibilities

TRAVEL: This position requires flexibility, as you may be tasked to provide Front Office coverage to other RAW locations, on call. Travel averages about 50% annually.

  • ADMIN SUPPORT: You will provide general assistance in front desk operations. To include, but not limited to:
  • Providing exceptional customer service to our diverse clientele in office and over the phone.
  • Answering calls on a multi-line system, with usual call traffic of 20+ calls per shift, from current & new clients, payors, referral sources, and vendors.
  • Warmly greet and welcome 20-30 clients per shift, coordinating check-ins, collecting insurance/copays, and directing them to their destinations.
  • Coordinating and managing incoming client referrals from various referral sources, via phone call, email or fax.
  • Have excellent phone, email, and in-person communication skills and presence.
  • Management of client charts, on paper and electronically.
  • Assist senior administrative staff with obtaining necessary medical records, authorizations, chart creation/management, and additional information for cases; as assigned.
  • Provide remote assistance to other centers, via Microsoft Teams, Outlook email, or phone; as assigned.
  • Data entry, as assigned, through Microsoft Excel, Word, and our electronic records software.
  • OFFICE OPERATIONS: You will assist in general management of our office, to include, but not limited to:
  • Maintaining a welcoming, clean, and organized client reception area.
  • Monitoring office supply inventory and ordering supplies
  • Maintaining client medical records archival storage
  • Reporting any building or office upkeep concerns to upper management and building maintenance
  • General management and upkeep of office machines (faxes & printers)

Required Qualifications

  • High School Diploma; additional certifications are a plus
  • Proven work experience in Customer Service based vocations
  • Basic knowledge of fax machines, printers, and computers
  • Experience in customer service, volunteering, or internships
  • Fluent English & Spanish proficiency, oral & written
  • Understanding/knowledge of Microsoft Office (Excel & Word preferred)
  • Excellent communication and people skills
  • Organization, multi-tasking, and timeliness skills
  • Problem solving abilities
  • Typing ability of at least 70 wpm
  • RELIABLE transportation & valid driver's license.

Preferred Qualifications

  • Proficiency in other languages; oral & written
  • Prior Workers’ Compensation, Personal Injury or auto injury experience
  • Prior medical, dental, hospital or nursing home administrative experience

Training for this role will be provided by, as assigned, a Senior Front Office Manager in their designated office location or by a remote trainer until permanent assignment to a home base office occurs when fundamentals are established.

Job Type: Full-time, Monday – Friday; 8:00am – 4:30pm

Pay: Starting at $18 per hour (negotiable with the right candidate and experience)
