Job Overview:
We are seeking a highly organized and experienced individual to fill the role of Medical Office Manager in our growing Orthopedic practice. The Medical Office Manager will be responsible for overseeing the day-to-day administrative and operational aspects of the Medical Office, ensuring efficient and compliant functioning. The ideal candidate should possess strong leadership skills, excellent communication abilities, and a background in healthcare administration.
Responsibilities:
Administrative Leadership:
· Provide leadership in the development and implementation of office policies and procedures.
· Oversee the daily administrative operations to ensure smooth workflow.
Staff Management:
· Recruit, train, and supervise office personnel, including medical receptionists, administrative assistants, and billing clerks.
· Conduct regular performance evaluations and address any personnel issues.
Financial Oversight:
· Manage the office budget, monitor expenses, and ensure accurate payroll processing.
· Work closely with billing and coding staff to oversee insurance claims processing.
Patient Services:
· Coordinate patient scheduling, registration, and check-in/check-out processes.
· Ensure a high standard of customer service, addressing patient inquiries and concerns.
Compliance and Regulations:
· Stay informed about healthcare regulations and ensure the office's compliance with local, state, and federal laws.
· Monitor and enforce HIPAA compliance and patient confidentiality.
Technology Management:
· Supervise the implementation and maintenance of electronic health records (EHR) and other office technologies.
· Address and resolve any issues related to the office's IT systems.
Facility Management:
· Oversee the maintenance and cleanliness of the Medical Office.
· Coordinate with vendors for equipment maintenance and repairs.
Communication:
· Facilitate effective communication among healthcare providers, staff, and patients.
· Coordinate and conduct regular meetings to disseminate relevant information to the team.
Quality Improvement:
· Identify opportunities for improvement in office operations and implement strategies to enhance efficiency.
· Monitor and assess patient satisfaction, implementing improvements as necessary.
Credentialing and Licensing:
· Ensure proper credentialing and licensing for all healthcare providers.
· Manage the renewal process for licenses and certifications.
Emergency Preparedness:
· Develop and implement emergency protocols to ensure the safety of patients and staff during emergencies.
Qualifications:
· Bachelor's degree in Healthcare Administration, Business Administration, or related field is preferred but not required.
· Previous experience in Medical Office management or healthcare administration.
· Strong organizational, leadership, and communication skills.
· Knowledge of healthcare regulations, compliance, and billing practices.
· Proficiency in office technologies and electronic health records.
· Ability to adapt to a dynamic healthcare environment.
