Paralegal / Legal Assistant Job Duties are as follows:
- Organize office and assist associates in ways that optimize procedures
- Answer multi-line phone system, texts, and emails and distribute communications in a timely manner
- Greet clients and prepare them for meetings with the attorneys
- Schedule and plan meetings and appointments
- Monitor level of supplies and handle shortages
- File documents and keep filing system up to date
- Maintain trusting relationships with clients and colleagues
- Perform receptionist duties
- Run errands
- Scan, copy, fax, documents, email updates, request discovery, text updates, etc.
- Open client files
- Assist the attorneys in drafting motions, petitions, notices, subpoenas, etc. e-filing, opening/closing files.
- Mail out correspondence to clients
- Collect payments through multiple platforms.
- Call, text, email clients on open invoices and set up payment plans.
- Call the prisons/jail/court/ attorneys' office to get information for clients and attorney.
- Research for clients, attorneys, etc.
- Follow up with courts and clients, and send office memos with updates using interoffice case management software, etc.
- Keep and create databases regarding invoices, intakes, etc.
Requirements:
- Professional attire and demeanor a must.
- Keep timely attendance with minimal absences and tardiness
- Be professional & courteous.
- Excellent organizational and time management skills
- Analytical abilities and aptitude in problem-solving
- Excellent written and verbal communication skills.
- Must have a positive attitude.
- Able to work with minimal supervision.
- Be able to manage your time wisely meet deadlines & prioritize.
- Must have reliable transportation, valid driver’s license, and clean driving record.
- Knowledge of cloud based computing
- Proficient on Mac Computers including Apple IOS programs.
Preferred but Not Required:
- Knowledge in Criminal Law
- Knowledge of Clio Software
- E-filing
- Bilingual / Spanish
