Job Description
PRIMARY DUTIES AND RESPONSIBILITIES:
The duties and responsibilities of this position include but are not limited to those listed below. These duties and responsibilities may be modified at any time by the Firm’s President. Modifications will be in writing and will be acknowledged by both parties.
· First responder for incoming phone calls, call screening and call direction.
· Route calendaring and prospective clients as appropriate.
· Provide clear, concise, and accurate information to clients and potential clients.
· Responsible for receiving, sorting, and disbursing mail and other deliveries.
· Responsible for taking outgoing mail and overnight packages to an appropriate drop off location.
· Ensure calendars are maintained.
· Greet visitors cheerfully and professionally.
· Monitor visitor access and maintain security awareness.
· Open files, record and file documents as directed and in accordance with prescribed protocol.
· Maintain clients’ task list.
· Transmit Estate Plan drafts and invoices to clients.
· Conform executed Estate Plan documents.
· Assemble, monitor, and maintain security, integrity and confidentiality of data contained in clients’ paper and electronic files.
· Provide general administrative and clerical support to Firm President and office staff.
· Proofread outgoing correspondence.
· Assist with marketing and social media.
· Coordinate logistics for projects assigned.
· Coordinate community volunteer programs and efforts.
· Provide clear, concise, and accurate information on the status of projects.
· Provide feedback, input, and offer solutions.
· Create and disburse e-mails to clients as instructed following prescribed Communication Standards.
· Maintain integrity of contact information.
QUALIFICATIONS/COMPETENCIES
· Satisfactory Background Check
· Must be authorized to work in the United States
· High proficiency with Microsoft Office (Word, Outlook, Excel)

EDUCATION/EXPERIENCE:
· High school diploma or equivalent
· Minimum 3 years’ experience working in a law office
PHYSICAL REQUIREMENTS:
· Able to lift and carry 20 pounds
· Able to sit for prolonged periods of time at a workstation
