We are looking for a motivated and self-sufficient Legal/Administrative Assistant to ensure smooth running of the Attorney’s administrative tasks in a small South Florida boutique health care law firm. This is a fully remote position. Hourly rate of pay/salary negotiable. Hours generally 10-5, M-F, but can accommodate some flexibility in hours. We are also open to discussions with regard to a 40-hour work week as opposed to 35.
- Provide administrative support to lawyer and enhance effectiveness of the tasks at hand.
- Handle all of the attorney’s scheduling.
- Saving and organizing important matter documents in their respective case file using the firm’s case management software.
- Maintain contacts in firm’s case management system. (Clio)
- Answer and direct attorney’s phone calls.
- Type correspondence.
- Monitor deadlines and pay close attention to calendars.
- Monitor incoming emails to ensure nothing is overlooked or missed.
- Following up with clients on attorney’s behalf when necessary.
- Perform follow up with Medicare, Medicaid, Medicaid Managed Care, and Commercial insurance companies on unpaid insurance accounts identified through aging reports;
- Drafting and processing appeals and submission of appeal records via mail or online portal
- Proof read documents drafted by attorney to minimize grammatical errors, typos, and to ensure proper formatting.
- Be comfortable using Microsoft Word / Adobe (PDF's) / Outlook Email and Calendar.
- Auditing of medical records (will be trained on this component)
- Following up with insurance companies for network contracting issues.
- Responsibilities may not be all inclusive in this list, but part of this role includes completing any other tasks necessary and assigned to you in order to help keep firm running smoothly.
