Summary:
This position assists attorneys and professionals with litigation legal support assistance including but not limited to word processing, proofreading, calendaring and appointments, maintains contact information and answers phones. This position provides support to St. Petersburg and Tampa professionals as needs require. Position also assists with overflow work and special projects as assigned. Additionally, this position shall perform general office assistant duties under the direction of the assigned Office Administrator. These duties may include, but not be limited to, processing mail and deliveries for the office, office reception/greeter, maintaining office supplies, provide meeting set ups, assist Information Technology as needed, process records as deemed appropriate, ensure day to office maintenance is addressed, liaise with office building management as required.

Job Classification:
Reports and is responsible to assigned Office Administrator.
Required Responsibilities:
· Maintains regular and punctual attendance.
· Writes, proofreads, sends, files, and manages correspondence, memos, pleadings, contracts, forms and other related documents.
· Manages multiple time-sensitive projects and applies various procedural guidelines of differing jurisdictions.
· Keeps cases ordered by establishing and organizing files; monitoring calendars; meeting deadlines; documenting actions; inputting information into file database and case management software; confirming case status with attorney.
· Tracks case costs by verifying outstanding balances with attorney, clients, and providers.
· Transcribes dictation.
· Answers telephone and routes calls.
· Schedules/manages appointments and contact lists.
· Receives, reads and routes incoming mail and deliveries.
· Processes and expedites all outgoing mail and deliveries.
· Reviews and revises attorney bills as appropriate.
· Reception and Client Greeter for office.
· Manage supplies and inventories.
· Oversees day-to-day maintenance needs and reports to property management as required.
· Assists with office events as directed by the Office Administrator.
· As needed, supports marketing activities by attorneys in the St. Pete office and as directed by the firm’s marketing department.
· Operates office equipment including fax machines, scanners and photocopiers.
· Utilizes working knowledge of computer software including Microsoft Word, Outlook, Excel, PowerPoint and Adobe.
· Interacts with clients as required.
Other Responsibilities:
· Performs other work related duties as assigned and appropriate for specific area(s) of law as assigned.
· Attends training sessions and staff meetings.
Education, Experience and Skills Required:
· Strong verbal, written and interpersonal skills including strong command of spelling, punctuation and grammar.
· Types a minimum of 60 wpm.
· Minimum of high school diploma required.
· Previous legal experience helpful, but not necessary.
· High level of understanding of MS Outlook, Word, and Excel
Physical Requirements:
· Sitting frequently, six out of eight hours per day. Sitting position static for up to one-half hour at a time.
· Lifting and carrying up to 10 pounds occasionally, up to one hour per day.
· Bending and stooping occasionally, up to one-half hour per day.
Job Type: Full-time
Pay: $45,000.00 - $60,000.00 per year
