As our dynamic and team-focused Office Administrator, you will have the unique opportunity to work closely with our executive team to grow our firm, execute our Strategic Plan, and champion our firm’s culture. You will be invested in our firm’s success and drive results from both an operational and financial perspective. You will also be responsible for leading, planning, organizing, and overseeing the day-to-day operations of our growing team of 40+ people.
The successful candidate will be a metrics-driven problem-solver and have proven experience as a Practice Administrator or Director of Operations in a law firm. If you’re smart, persistent, thrive in a fast-paced environment, and a team-player, we want to hear from you!
Responsibilities:
- Measure firm and team performance against established goals and work closely with the executive team and attorney team leaders to make data-driven business decisions, conduct case reviews, and review and track client and general expenses, settlement reports, write-offs, and internal and external referrals.
- Work together with executives and team leaders to create, execute, and manage plans for firmwide and team specific operational improvements, workflow and resource optimization, case management, and policies designed to foster growth, profitably, efficiencies, and effectiveness as well as exceed our clients’ expectations.
- Champion our firm’s employee experience including hiring, onboarding, personnel matters, off boarding, compliance, performance evaluations, incentives, and learning and development.
- Lead, drive, and embrace change initiatives.
- Oversee finance, budgeting, accounting, marketing, HR, IT, administration, and facilities.
- Manage strategic partners and vendors including contract management, negotiation, and optimization.
Requirements:
- Must have 3 or more years of experience as a Practice Administrator or Director of Operations in a law firm and the ability to build trust quickly.
- Must have 5 or more years of experience in business management, operations, and managing teams.
- ALA (Association of Legal Administrators) CLM (Certified Legal Administrator) preferred.
- Familiarity with our practice areas preferred.
- Must demonstrate high emotional intelligence and have the proven ability to create and develop high performing teams.
- Excellent leadership, organizational, oral, and written communication, and conflict resolution skills
- Must be a team player: willing to work collaboratively with all staff members.
- Caring and compassionate attitude with employees and clients that is consistent with the firm’s core values.
- Growth mindset and eagerness to become an invaluable member of the Arnold Law Firm team.
- Highly proficient in Microsoft suite and demonstrated comfort with technology, including case management software.
- Strong time management and multitasking skills – must be able to simultaneously manage multiple initiatives and projects in a busy (and supportive) environment.
