Two Hearts ABA Therapy provides ABA (Applied Behavior Analysis) therapy and diagnostic services to children with special needs. We help clients and families in our centers, in homes, in schools and in the community. We are seeking a detail-oriented and organized individual to join our team as an Intake Coordinator. As an Intake Coordinator, you will play a crucial role in ensuring the smooth operation of our medical office by managing patient intake and administrative tasks. This position requires proficiency in medical terminology, experience with medical scheduling systems, and excellent communication skills.

As a Family Intake Coordinator, you’ll ensure our client families have a good experience throughout the diagnosis process, ensuring the paperwork is filled and submitted, collecting documentation as needed, and supporting the clinicians with scheduling and communications.
What You'll Do
Ensure families have a smooth welcoming and a good experience throughout the initial part of the diagnosis evaluation process. Duties include recording patient information and performing clerical duties.
Responsibilities:
- Schedule clients for Diagnosis Evaluations and feedback sessions.
- Manage clinician schedules, ensuring efficient allocation of time and resources.
- Assign, collect, and review client documentation and assessments, maintaining accurate records, and adhering to company protocols
- Guarantee record collection and documentation-keeping processes are collaboratively working with the clinical team.
- In charge of managing communication between family members and care providers.
- Demonstrate the company’s cultural values, fostering healthy working relationships and enhancing the Family Intake team to ensure the successful accomplishment of the company’s goals and objective.
Education, Work-Experience, and Other Requirements
- Associates / High school diploma
- Customer service: 2+ years
- Understanding of ABA, early childhood education, and/or social services
- Ability to effectively collaborate with families, clinicians, and other team members and service providers in the community
- Effective organizational, time-management, and prioritization skills
- Excellent communication, interpersonal, and team skills
