The Human Resources Assistant helps the Human Resources Manager with the administration of day-to-day operations of the department's functions and duties. They will assist maintaining various employee programs, including the new hire process, recruiting, termination process, and employee relations. Responsible for maintaining employee personnel files, employee boards, and coordination of employee meetings and events. This position works under supervision but must know how to work independently to plan and accomplish goals. Must perform all functions with the highest level of consistency, compassion, and confidentiality as it relates to Mittera's values and overall customer experience.
Essential Duties and Responsibilities
- Complete, process, verify, and maintain personnel related documentation, including paperwork for new hires, promotions, benefit elections, terminations, leaves of absence, counseling forms, and all other personnel changes
- Help maintain organizational charts, personnel files, and I-9 files
- Help support safety procedures and initiatives
- Work with state and local municipalities to report job openings, assist with unemployment, etc.
- Assist in recruiting and onboarding functions, such as preparing offer letters and conducting background checks, setting up pre-employment drug testing, and verifications of employment
- Complete orientation with new hires to ensure an exceptional first day experience
- Explain personnel policies and procedures to employees
- Help oversee placement agencies and responsible for reporting weekly hours to Mittera's staffing agencies
- Assist employees with questions and direct them to the appropriate source for information
- Assist with safety programs and policies
- Perform additional duties and assist with other projects as requested
Requirements
Required Skills and Abilities
- High School diploma or equivalent required; Associate degree or certificate in Human Resources, Business, or related field preferred
- 1 - 3+ years of relevant experience
- Strict adherence to confidentiality obligations and protecting sensitive information
- Strong verbal and written communication skills
- Strong interpersonal and conflict resolution skills, and ability to work effectively with broad range of audiences (senior management level to front-line production employees)
- Excellent organizational skills and attention to detail
- Knowledge of applicable compliance obligations
- Good judgement and decision-making abilities
- Ability to use specialized computer software, such as HRIS, and proficiency in Microsoft Word, Excel, and Outlook
- Capable of prioritizing and executing projects with minimal supervision
- Must be self-motivated, reliable, and quality, safety-oriented
Physical Requirements
- Prolonged periods of sitting at a desk and working on a computer
- Must be able to lift up to 20 pounds at times
- Requires fine motor hand and arm movement, manual dexterity and coordination
- Must be able to access and navigate each department in the facility
