Human Resources Administrative Assistant
Qualifications
•
High school diploma or GED equivalent from an accredited institution
•
A minimum of two (2) years of full-time paid work experience within an office environment performing clerical duties, providing customer service and administrative support, to include specifically heavy data entry, inbound/outbound calls, filing (includes archiving)/sorting (includes mail and other HR related documents)
•
Excellent organization skills, time management and ability to meet tight deadlines
•
Excellent reading comprehension and verbal/written communication skills
•
Intermediate PC experience, Microsoft Excel, Word, and Outlook
•
Associates degree or higher in Business/ Human Resources
•
Previous full-time experience working in Human Resources in the local government industry
•
Working knowledge of clerical office experience and phone etiquette
•
Must be able to work independently and function effectively in a team-oriented
•
Ability to work special hours upon request
•
Ability to work in a fast paced environment, when necessary
•
Detail oriented with strong proofreading, spelling and grammar skills
•
Must possess a professional attitude and appearance and ability to work well with all levels of management
•
Must possess good customer service skills
•
Must maintain a high level of confidentiality
•
Minor physical effort required, which may involve periods of standing, walking, bending, reaching, stretching, climbing, lifting less than 30 lbs or similar activities (e.g., filing, delivering, sorting)
•
Regular application of basic skills (calculator, keyboard, hand tools, eye/hand coordination)
•

Responsibilities
•
Miscellaneous Tasks: Greet visitors, employees and clients in a professional and courteous manner
•
Answer calls/take messages and forward to the appropriate party
•
Maintain filing system
•
Handle vendor invoices
•
Maintain, organize and request orders for office supplies within HR
•
Maintain training certifications for all departmental personnel
•
Alternate for handling Service Awards and Retirement Proclamations
•
Create or update departmental job descriptions, as needed
•
May be responsible for assisting with responding to Open Records Requests
•
Alternate for maintaining Compliance posters throughout the department
•
Primarily responsible for retrieving and distributing HR staff inter-departmental mail
•
Payroll: Process time-entry for all temporary personnel
•
Maintain temporary staff database/logs
•
Responsible for the departmental deactivation of all temporary personnel and update/maintain checklist
•
Recruitment: Coordinate the placement of temporary staff and schedule job interviews
•
New-Hire Processing: Responsible for processing new temporary personnel and assist with orientation
•
Typically, an office environment with adequate lighting and ventilation and a normal range of temperature and noise level
