Job Title: Accounting/HR Administrative Assistant
Location: Grand Prairie, TX
Pay: $19-$20 / hr. (Based upon Experience)
Schedule: Monday - Friday, 8am - 5pm
Overview: In this dual role, you will assist with a variety of Accounting and Human Resources administration responsibilities in support of a growing staff of approximately 30 to 50 employees and contractors.
Key Responsibilities:
Accounting Functions:
Assist in the preparation of accounts receivable deposits and billing documentation.
Support semi-monthly payroll preparations, maintaining employee payroll records and tax submissions.
Reconcile financial discrepancies and resolve billing issues with vendors and clients.
Assist with general ledger maintenance and month-end close processes.
Maintain accurate and up-to-date financial records and documentation.
HR Functions:
Maintain accurate and up-to-date employee files, ensuring compliance with company policies.
Assist with new hire orientation, including the verification of complete and accurate documentation.
Handle HRIS database input and ensure the integrity and confidentiality of human resource files.
Assist in benefits reconciliation, employee terminations, and performance review processes.
Support special events such as benefits enrollment, organization-wide meetings, and employee recognition events.
Assists with new hire orientation functions including; verification of complete and accurate new hire documentation, creation of employee files.
General Administrative Functions:
Provide general administrative support to both the accounting and HR departments, including answering phones, scheduling meetings, and managing correspondence.
Assist with document preparation, filing, and record-keeping.
Coordinate office supplies and equipment maintenance as needed.
Qualifications:
REQUIRED previous experience as an Administrative Assistant, ideally with exposure to both HR and Accounting functions.
Strong proficiency in MS Office, especially Excel, and familiarity with QuickBooks
Exceptional organizational and multitasking abilities with high attention to detail.
Excellent communication and interpersonal skills.
Ability to handle confidential information with integrity and professionalism.
