HR Generalist for Family Law Firm

We are seeking the perfect match for a HR Administrative Assistant with at least 3 years experience, ideally in a law firm; experience purely in recruiting does not apply to this position. This is a remote work-eligible position.
Compensation:$45,000 - $55,000
Responsibilities:Firm Culture:
- Executes the duties identified herein in line with the Firm’s culture, providing education, support, and guidance to all Firm employees in a collaborative, supportive and growth-minded manner
- Models awareness and understanding of the firm’s culture with all employees, safeguarding our culture through selective recruiting assistance
- Leads by example
Administration of Key Business Systems:
- Assists the Executive Director with the implementation, review, and evaluation of the Firm’s key systems as to internal policies, external policies, and other systems, policies and processes, as they pertain to HR and the ability of our team to perform their job functions. Contributes to solutions to obstacles encountered with the same
- Monitors the Firm’s HR policies, systems and procedures to assist the Executive Director in ensuring that they are operating as implemented, are documented, and are readily accessible to all employees in electronic form
Finance and Accounting:
- Assists with the execution of financial systems in conjunction with the Executive Director as to personnel time-tracking, employee expense reimbursement management, benefit management, and payroll
- Coordinates with benefit providers and other vendors providing services related to employees to assist the Executive Director in ensuring services are provided as intended. Liaisons with the Firm’s vendors and Firm management regarding the same
Timekeeping and Productivity:
- Reports productivity measures daily, weekly and monthly
- Provides other weekly and monthly reporting to the Executive Director and Owner as requested
- Verifies all timekeepers record time on a daily basis
Human Resources Management, in conjunction with the Executive Director:
- Performs routine tasks required to administer and support the Executive Director and Owner in executing Human Resource programs including but not limited to compensation, benefits, and leave; disciplinary matters; disputes and investigations; performance and talent management; productivity, recognition, and morale; occupational health and safety; and training and development
- Assists with the initial screening of job candidates
- Assist the Executive Director in onboarding and training Firm employees on Firm systems, policies and procedures
- Execute administrative aspects of recruitment, hiring, onboarding, and training
- Conducts or acquires background checks
- Verifies employee eligibility verifications
- In conjunction with the Executive Director, utilize job boards, liaison with recruiters, and use other applicable tools to screen stellar candidates
- Researches competitive compensation recommendations and reports same to the Executive Director and Owner
- Creates, develops, and updates the Firm’s personnel and employment policies, procedures and systems as directed by the Executive Director and/or Owner
- Assists in the maintenance of personnel records for all employees, ensuring privacy & security of files and ensuring records are properly updated to document personnel changes, promotions, feedback/counseling, discipline, etc.
- Ensures the safeguarding of client and employee confidential information
- Prepares the Executive Director and Owner for check-ins, evaluation conferences and growth/action plan meetings in a thorough and timely manner
- Contributes to the payroll function to ensure timeliness and accuracy
- Assists the Executive Director in administering Firm employee benefits, coordinating with the vendors who provide those services
- Assists the Executive Director to ensure the proper termination policy and procedure is fully implemented following a Firm employee’s departure
- Assists the Executive Director in maintaining compliance with federal, state, and local employment laws and regulations, and best practices
- Assists the Executive Director in communicating with outside agencies and counsel with regard to unemployment claims or hearings, requests for references, and other actions regarding employment
- Reviews, tracks, and documents compliance with mandatory and non-mandatory training, continuing education, and work assessments. This may include safety training, anti-harassment training, professional licensure, and aptitude exams and certifications
- Assists the Executive Director in creating, implementing and evaluating employee recognition programs
- Provides HR administrative support for attorneys and firm personnel to support them in the performance of their job functions
Facilities/Workplace Management:
- Assists in equipping virtual/remote employees with the necessary equipment, resources, and tools in line with Firm policies to enable and ensure employees’ ability to perform their job functions
- Maintains accurate inventories of all Firm IT equipment issued to employees, ensuring completion of required agreements and forms as to employee use of same
- Assists in documenting and updating the Firm’s emergency preparedness and disaster recovery protocols, in conjunction with the Executive Director
- Contributes to the management of the Firm’s office furniture and furnishings inventory: assures that office furniture and furnishings inventory is maintained and repaired as needed
- Assists the Executive Director in ensuring that employees have the tools they need to perform their duties, including annual evaluations of the computer, telephone, and internet systems, including hardware, software, programs, and vendor selection, to ensure optimum efficiency and cost savings
- Knowledge of law office administrative processes
- Knowledge of accounting issues specific to law firms, including time and billing systems, collection procedures, and trust management
- Knowledge of Human Resource management systems, policies and procedures, as well as applicable federal and state laws
- Highly organized; ability to multi-task proficiently
- Positive, friendly, and professional interpersonal skills in working with employees, clients, attorneys, firm personnel, vendors, etc.
- Must be able to work under the direction of the Owner, Executive Director and firm executive leadership, and be willing to contribute by performing any task needed
- Able to exercise high levels of discretion, confidentiality, sensitivity and integrity
- Able to follow directions, Firm policies and procedures
- 3 years experience as an HR administrative professional in an office environment is required, with experience in a law firm strongly preferred
- College degree required; HR certification preferred
