Position: HR Coordinator
Reports to: Administrative Services Manager
Summary:
Utility Traffic & Restoration, LLC (UTR) is now accepting applications for an opening for a HR Coordinator. UTR is a union contractor specializing in traffic control and surface restoration services for utility companies and their contractors throughout the Midwest.
Primary responsibilities:
- Facilitate the onboarding process for new/returning employee’s: applications, Clearinghouse/MVR checks, new hire paperwork, union notifications, background checks
- Setup and distribute fuel pins, facility access (door codes), and employee ID #
- Assist in phone, radio, iPad, laptop setup/distribution
- Enter employee’s in SuperVision for on-going motor vehicle record monitoring
- Drug screens – preemployment, random, post-accident. Send employee rosters to drug lab prior to randoms. Assist in locating/setting up new facilities for use. Assist in coordinating sending employee’s in for randoms
- Serve as a point of contact for internal HR related questions, inquiries, employee relations, disputes, etc.
- Post jobs on external sites (Indeed, etc.), help create job descriptions, maintain existing posts, assist in finding applicants for jobs, etc.
- Monitor and update expirations – driver’s license, fed med card, WISDOT flagger certifications, UTR flagger certifications, Clearinghouse, customer/company badges, monitor for union wage increases after certain amount of time/hour requirements, etc.
- Track referral bonuses and send to payroll for payout when applicable
- Track employee PTO balances and ensure deductions are made when PTO is used
- Assist in maintaining UTR LinkedIn and Facebook pages. Post jobs, company update posts, etc.
- Monitor for inactive employee’s and follow up with supervisors on employee status when necessary
- Maintain HR related files systems, including shared spreadsheets such as phone directory
- Enter new and returning employee’s in HRIS software. Maintain and keep updated employee files
- Handle unemployment inquiries, verifications of employment, safety performance history requests, proof of employment letters, and other HR related inquiries
- Perform exit interviews/exit checklists for outgoing employees. Notify union of exiting union employees. Term employee’s in HRIS & update files accordingly. Remove employee’s from SuperVision after exit
- Weekly crew roster reporting for applicable customers
- Enter employee time sheets & review time entries
- Additional duties as requested. Growth will largely dictate position
Notes:
- Full-time, non seasonal, non-union, hourly. Monday-Friday, 8:00am-4:30pm. Flexibility to start at 7am or 730am as needed.

Qualifications:
- At least 1-2 years of relevant HR experience
- SHRM or PHR certification preferred
- Experience entering and/or approving time sheets, especially in a union environment preferred
- Associates or Bachelor’s degree in Human Resources Management or similar preferred
- Experience dealing with a union workforce and/or construction environment preferred
- Proficiency with Microsoft office programs (Outlook, Word, Excel) required.
- Proficiency with Adobe PDF preferred (combining, organizing, editing, signing, etc.)
- Willingness to always ask questions

- Excellent organizational skills and attention to detail
- Excellent time management skills with a proven ability to meet deadlines, ability to multitask
- Reliable transportation to/from work
- Must be able to pass a background check and drug testing (pre-employment and randoms)
